The Parts Estimator is responsible for researching and quoting accurate parts information for service estimates of critical power equipment across multiple OEM platforms. This role reviews technician findings, service reports, inspections, and historical data to build parts-ready proposals for corrective repairs, preventative maintenance, and lifecycle upgrades. The estimator partners closely with service technicians, account managers, and operations to ensure scopes are complete, pricing is accurate, and estimates align with actual job costs. This role is designed to absorb the estimating workload from account managers, allowing them to focus on customer relationships and business development.
ESSENTIAL DUTIES
Parts Estimating & Proposal Development
- Research OEM and aftermarket parts pricing, availability, and lead times
- Communicate with additional service vendors to obtain product or service information such as price, availability, or delivery schedule
- Develop parts-ready proposals for corrective repairs, preventative maintenance, overhauls, and lifecycle upgrade
- Build estimates based on technician findings, inspection reports, service history, and equipment specifications
- Evaluate freight impacts and material availability when building estimates
- Maintain familiarity with multi-OEM components including Caterpillar, Cummins, MTU, and John Deere
- Issue purchase orders to vendors to order parts in relation to Additional Service Requests (ASR’s)
- Build final customer ready quotes and submit to Account Manager assigned to ASR
Parts Department Additional Support
- Answering and assisting customer calls
- Inventory management
- Shipping and receiving packages
- Any additional tasks necessary to departmental success
Coordination & Collaboration
- Coordinate with technicians to clarify scope, findings, and collect any additional details as it relates to the parts research and estimating
- Partner with parts and service coordination teams to validate estimate accuracy and feasibility
- Support service account managers with estimate-related questions and revisions
Cost Tracking & Continuous Improvement
- Track estimate accuracy versus actual job costs
- Identify trends, gaps, or variances and support continuous improvement efforts
- Assist in refining estimating processes, labor assumptions, and pricing accuracy
Safety
- Wear proper PPE when necessary.
ADDITIONAL RESPONSIBILITIES
- Attend training sessions as required.
- Perform all other duties as assigned.
- Participate in training related to estimating tools, OEM updates, and service standards
- Perform other duties as assigned to support service and operations
COMPETENCIES
EDUCATION
- High school diploma or GED required
- Technical training or equivalent experience preferred
CERTIFICATIONS & LICENSES
- Possess a valid Texas driver’s license
EXPERIENCE
- 2+ years of experience in generator service, diesel engine service, heavy equipment estimating, or parts
- Experience in multi-OEM service environments preferred
- Familiarity with service labor guides and estimating templates

- Proficient in Microsoft Excel and Word
- Ability to learn ERP and estimating systems
