Sr. Event Technology Project Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Sr. Event Technology Project Coordinator based in the United States.

This role sits at the intersection of event operations, digital platforms, and client delivery, supporting the execution of large-scale in-person and virtual events for global enterprise clients. You will coordinate event registration systems and attendee-facing technologies that power experiences for thousands of participants. Working in a fast-paced, client-facing environment, you will collaborate with project managers, technical teams, vendors, and stakeholders to ensure seamless event technology delivery. The role requires strong organizational skills, technical fluency in event platforms, and the ability to manage multiple concurrent projects under tight deadlines. You will help translate client needs into functional digital event solutions, from registration builds to onsite execution support. This position is ideal for someone who thrives in high-visibility, detail-driven environments and enjoys delivering flawless event experiences at scale.

Accountabilities
  • Coordinate and support the delivery of event technology and registration workstreams across multiple concurrent projects, including large-scale and high-profile events.
  • Serve as a primary point of contact for internal teams, clients, and vendors regarding registration platforms, attendee systems, and event technology tools.
  • Manage project schedules, workback plans, documentation, and execution tracking to ensure deadlines and deliverables are consistently met.
  • Support the build and configuration of attendee-facing platforms such as registration sites, mobile apps, session management tools, and related event systems.
  • Assist in onsite execution of event technology operations, including badge pickup, session scanning, and technical troubleshooting support.
  • Maintain process documentation and ensure adherence to established workflows, standards, and best practices across projects.
  • Participate in client meetings, platform demos, and status updates while supporting communication between technical and non-technical stakeholders.
  • Identify risks, escalate issues when necessary, and support mitigation planning to ensure smooth project delivery.
  • Collaborate with cross-functional teams to improve processes and enhance event technology delivery efficiency.
Requirements
  • 5+ years of experience in event technology, event production, project coordination, or a related field, ideally within corporate or large-scale events.
  • Experience supporting or managing event registration systems and attendee-facing platforms across the full project lifecycle.
  • Familiarity with event technology tools such as Cvent, Swoogo, Stova, RainFocus, Airtable, or similar platforms.
  • Strong organizational and project coordination skills, with the ability to manage multiple deadlines simultaneously.
  • Excellent communication skills with the ability to interact confidently with clients, vendors, and cross-functional teams.
  • Experience working in fast-paced, high-pressure environments with shifting priorities and tight timelines.
  • Strong attention to detail with a process-driven and highly organized approach to execution.
  • Ability to troubleshoot basic technical issues and understand platform functionality and user experience considerations.
  • Comfort working onsite at events and supporting operational execution when required.
  • Bachelor’s degree preferred or equivalent professional experience in events, communications, or technology-related fields.
