EAE USA is seeking a highly organized, customer-focused, and detail-oriented Capital Sales Coordinator to support our growing Sales and Project Execution teams. As a Capital Sales Coordinator, you will play a pivotal role in ensuring projects move seamlessly from quotation through execution and delivery. You will act as the central communication hub between customers, sales professionals, engineering teams, project managers, and operations personnel, helping maintain transparency, accuracy, and exceptional customer service throughout the project lifecycle.

About the Role

The Capital Sales Coordinator serves as a key support resource for our Capital Sales Team, helping manage customer accounts, coordinate project documentation, track sales opportunities, and ensure critical information flows efficiently between internal teams and external stakeholders.

You'll be responsible for keeping projects organized, customers informed, and sales initiatives moving forward. This role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment.

Key ResponsibilitiesCustomer Communication & Relationship Support
  • Serve as a primary point of contact for assigned customer accounts, providing timely and professional communication.
  • Maintain regular communication with clients regarding project milestones, engineering progress, production schedules, invoicing updates, and order status.
  • Assist customers with documentation requests, project updates, and general account inquiries.
  • Build strong working relationships with customers by delivering exceptional service and responsiveness.
  • Support Sales Representatives in maintaining and strengthening long-term customer partnerships.
Sales Operations & Quote Management
  • Track active quotations, proposals, and sales opportunities throughout the sales cycle.
  • Follow up with customers regarding pending quotes and project opportunities.
  • Maintain accurate sales activity records and customer information.
  • Assist the sales team with pipeline tracking, reporting, and opportunity management.
  • Help identify potential risks, delays, or obstacles that could impact project timelines or customer satisfaction.
Account Documentation & Data Management
  • Collect, organize, verify, and maintain all customer-related documentation, including:
    • W-9 forms
    • Tax exemption certificates
    • Banking information
    • Contractual documentation
    • Credit applications
    • Project-related records
  • Ensure customer files remain complete, accurate, and compliant with company procedures.
  • Maintain organized digital records within company ERP and CRM systems.
  • Support data integrity initiatives by ensuring account information remains current and accurate.
Project Coordination & Execution Support
  • Work closely with Project Execution teams to support ongoing customer projects.
  • Assist with Change Order entry, processing, and documentation management.
  • Coordinate communication between Sales, Engineering, Production, and Project Management teams.
  • Help ensure project documentation remains accurate and accessible throughout the project lifecycle.
  • Support project tracking efforts and communicate status updates when needed.
Bill of Material (BOM) & Technical Data Support
  • Assist with BOM (Bill of Material) entry, review, and validation.
  • Support product configuration and project documentation efforts.
  • Verify project information for accuracy before submission and processing.
  • Collaborate with technical and operational teams to resolve documentation discrepancies.
  • Gain exposure to technical product applications and electrical infrastructure solutions.
CRM, ERP & Business Systems Management
  • Maintain customer records and project information within CRM platforms.
  • Enter and update data within ERP systems to support project execution and reporting.
  • Assist with reporting, forecasting, and sales analytics activities.
  • Ensure accurate documentation of customer interactions, opportunities, and project status updates.
  • Support process improvement initiatives that enhance operational efficiency.
Industry & Company Representation
  • Attend customer meetings, trade shows, networking events, and industry functions as needed.
  • Represent EAE USA with professionalism and a customer-first mindset.
  • Stay informed on company offerings, project developments, and industry trends.

QualificationsRequired
  • Bachelor's Degree in Business, Communications, Construction Management, Engineering, or related field; OR
  • Associate Degree with relevant professional experience; OR
  • Equivalent combination of education and experience.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Professional customer service mindset.
  • Proficiency with Microsoft Office Suite.
Preferred Qualifications
  • Experience in Customer Service, Sales Support, Account Management, or Project Coordination.
  • Exposure to construction, manufacturing, industrial, engineering, or electrical industries.
  • Technical or electrical product knowledge.
  • Experience with ERP systems such as:
    • SAP
    • Oracle
    • NetSuite
    • Similar business platforms
  • Experience with CRM systems including:
    • Salesforce
    • Microsoft Dynamics
    • Monday.com
    • ClickUp
    • Asana
    • Similar platforms
  • Experience managing customer records, project documentation, or operational data.
