E-Filing Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an E-Filing Specialist based in the United States.

The E-Filing Specialist will play a critical role in supporting attorneys and legal teams by ensuring court documents are filed accurately, efficiently, and in accordance with applicable jurisdictional requirements.
This position sits within a collaborative regional and national docketing function supporting multiple domestic offices.
The role requires strong knowledge of federal and state court e-filing procedures, including CM/ECF and state-specific platforms.
You will serve as a key point of contact between courts and attorneys, resolving procedural and technical questions and helping teams navigate filing requirements.
Success in this position depends on exceptional attention to detail, sound judgment, and the ability to manage time-sensitive requests under pressure.
You will also contribute to special projects and provide docketing support when needed, making this a varied role with broad exposure to litigation operations.

Accountabilities
  • Electronically file legal documents in federal, state, and appellate courts, ensuring compliance with applicable court rules and deadlines.
  • Prepare and submit federal filings through the CM/ECF system and complete after-hours filings when required.
  • Maintain subject matter expertise regarding e-filing requirements and procedures across federal and state jurisdictions throughout the United States.
  • Research jurisdiction-specific court rules, case information, filing procedures, and technical requirements to support accurate and timely submissions.
  • Act as a liaison between courts and attorneys on procedural, technical, and e-filing matters.
  • Respond promptly and accurately to attorneys’ procedural inquiries and provide guidance on filing requirements.
  • Monitor and interpret changes to court procedures and filing rules, adapting processes and communicating relevant updates to stakeholders.
  • Maintain accurate records of court and case information associated with electronic filings.
  • Support special projects and initiatives assigned by regional leadership and docketing management.
  • Provide backup support for overflow docketing requests when e-filing responsibilities allow.
  • Manage multiple requests and deadlines simultaneously while maintaining a high level of accuracy, responsiveness, and service.
Requirements
  • Bachelor’s degree or equivalent professional experience.
  • 5–7 years of experience in a litigation support role within a large law firm or comparable legal environment.
  • Demonstrated subject matter expertise in federal and state court filing requirements and procedures.
  • Proven experience electronically filing documents in state and federal courts.
  • Strong knowledge of CM/ECF and common state court e-filing platforms.
  • Ability to research, interpret, and apply jurisdiction-specific court rules and procedural requirements.
  • Strong attention to detail and accuracy when working with confidential, time-sensitive, and deadline-driven information.
  • Excellent time-management and multitasking skills, with the ability to prioritize competing requests effectively.
  • Strong written and verbal communication skills and confidence interacting with attorneys, court personnel, and internal teams.
  • Ability to interpret filing rules, identify procedural issues, and respond effectively to changing requirements.
  • Strong analytical and information-research skills with the ability to assess and interpret complex procedural information.
  • Advanced proficiency with Microsoft Office applications, particularly Word, Excel, and Outlook.
  • Ability to work independently while contributing effectively within a collaborative regional and national team environment.
