Job Description
The Accounting Clerk is an essential member of the Finance team, supporting accurate and timely payment for goods and services while maintaining positive relationships with vendors and internal partners.
This role provides an opportunity to develop accounting skills in a dynamic, purpose-driven CPG environment. The Accounting Clerk works closely with the Finance team members to process invoices (including 3-way matching), reconcile supplier statements, and set up payments to ensure compliance with internal controls and accounting best practices using NetSuite, Factura, and Bill.com.
Other related tasks include;
- Employee expense card processing;
- Ad-hoc check deposit process;
- Administration of mail received to scan and distribute to other departments and manager;
- Action AP tickets assigned and communicate to suppliers payment status.
Key Responsibilities
- Process and code invoices received via the AP group email, ensuring accuracy in location, department, GL number, class, and sales channel as applicable.
- Upload, route, and manage invoices and payments through Factura, Bill.com, and NetSuite.
- Prepare and review weekly the A/P aging reports and reconcile them against vendor statements.
- Prepare and review weekly the A/R aging reports and share with AR Manager, Sales Team and CEO.
- Support the A/R Manger to ensure customer chargebacks and deductions are approved and/or disputed.
- Support the A/P Supervisor to ensure invoices are approved in compliance with internal control policies.
- Maintain and update vendor records in all relevant systems including w9 and bank account details.
- Prepare and schedule payment of approved invoices via Bill.com.
- Monitor status of invoice approval via Factura and NetSuite (3-way match). Follow up with the procurement or department manager to resolve purchase order variances with D+5 of receipt, ensuring proper documentation and credits are applied.
- Assist with month-end closing, credit applications, and internal/external audits as needed.
- Support administrative and clerical functions such as sorting and scanning mail, logging invoices, and maintaining organized digital files on the shared drive. Clear tickets issued via Freshdesk.
- Respond promptly and professionally to vendor and internal inquiries to resolve issues efficiently.
- Protect all company and vendor information by maintaining confidentiality.
- Proactively seek learning opportunities to build accounting knowledge and strengthen technical skills.

Requirements:- High school diploma or GED.
- Strong organizational skills and attention to detail.
- Accurate data entry and general math skills.
- Ability to follow established processes and maintain consistency.
- Excellent communication and customer service skills.
- Proficiency in Google Sheets and/or Microsoft Excel.
- Willingness to learn new systems and contribute to a collaborative team culture.
Preferred:
- Previous experience in an Accounts Payable or general accounting role.
- Familiarity with NetSuite, Factura, or Bill.com.
- Experience in a CPG, manufacturing, or multi-entity environment.
Physical & Work Environment Requirements
- Work primarily in a standard office environment.
- Prolonged periods of sitting and computer use; occasional bending, stretching, or lifting up to 20 lbs.
- Occasional extended hours to meet critical deadlines.
- Regular interaction with vendors, department managers, and other internal stakeholders to approve supplier invoices to effect timely payment.
- Ability to read and interpret numbers, reports, and financial data accurately.
