JOB SUMMARY
This support staff will work to ensure continuous, compliant, and efficient provider and APC coverage across Sheridan Memorial Hospital (SMH) Hospitalist, Emergency Department, Radiology, and Anesthesiology services while balancing patient care needs, contracts, and provider satisfaction. This person will support the Chief Medical Officer (CMO) and report to the Medical Staff Services Manager.
ESSENTIAL JOB FUNCTIONS
- Employ a standardized method of communication with providers to notify, create and implement monthly coverage schedules at least 60–90 days out.
- Maintain call after-hours phone service, as well as, loading schedules electronically in our approved communication system (i.e. Clarus) to ensure all calls are transferred appropriately.
- Collaborate with Medical Staff services to ensure coverage aligned with locums for uncovered shifts, scheduling housing and orientation schedules.
- Distribute / publish schedules to appropriate electronic venues and scheduling databases (ie Qgenda).
- Responsible for completing time cards for providers or collaborating with managers of clinics with hybrid providers to complete time cards, ensuring all updates are communicated timely and accurately to downstream users (accountants, payroll, etc).
- Coordinate contingency and gap coverage to ensure appropriate back-up plans for illness or unexpected census spikes with applicable schedules.
- Manage PTO, CME (Continuing Medical Education), and Leave (FMLA, personal, etc.) time tracking.
- Maintain fair and transparent processes for scheduling based on organizational priorities.
- Ensure schedules comply with Provider contracts, including shift minimums & call expectations, while balancing coverage gaps and credentialing limitations.
- Act as a liaison between physicians/APCs, managers, CMO, and medical staff team as necessary.
POSITION QUALIFICATIONS — Education, Experience & License
- High School graduate or equivalent, required.
- Experience with scheduling, preferred.
- Previous exposure to healthcare in a hospital or clinic setting, preferred

- Ability to read, write and communicate effectively in English.
- Strong Analytical Thinking skills
- Efficient computer knowledge and experience with Microsoft products such as Word, Excel, Outlook, etc.
- Attention to detail.
- Ability to multitask and prioritize work
- Ability to communicate clearly, establishing cooperative relationships with providers, peers, management and stakeholders both internal and external to the organization.
- Understand and respond to others’ needs and priorities.
- Excellent organizational skills to set priorities.
