Registrar – Enrollment & Records Specialist
Position Summary
Eastpointe High School is seeking a highly organized, detail-oriented, and dependable Registrar – Enrollment & Records Specialist to support school operations, student enrollment, records management, compliance, and data accuracy for our dropout recovery programs.
This position is primarily a data entry, records management, enrollment, and compliance support role, rather than a front desk or student-facing position. The Registrar – Enrollment & Records Specialist will work as part of the registrar team and will closely support the leadership team, dropout recovery site directors, and school partners to ensure student records, enrollment documentation, reporting, and compliance requirements are accurate, complete, and timely.
The ideal candidate is a self-starter who can work in a fast-paced environment, manage multiple priorities, maintain excellent attention to detail, and communicate professionally with internal staff and external partners. This role is critical to supporting the operational success of the school and ensuring that enrollment and student records processes are completed with accuracy, confidentiality, and urgency.
Essential Duties and Responsibilities
- Manage student enrollment, withdrawals, records requests, and student file documentation for dropout recovery programs.
- Enter, update, review, and maintain accurate student information in the student information system.
- Use student information systems, including Synergy, to support enrollment, student records, attendance, reporting, and compliance needs.
- Request, collect, review, organize, and maintain required student documents, including transcripts, immunization records, birth certificates, proof of residency, withdrawal paperwork, enrollment forms, and other required documentation.\
- Monitor student files for completeness, accuracy, and compliance with school, district, state, and partner requirements.
- Support internal audits and external audits from school partners, authorizers, districts, state agencies, or other compliance partners.
- Prepare, review, and organize documentation needed for audits, enrollment verification, compliance reporting, and partner requests.
- Coordinate with school partners to ensure student enrollment, records, and reporting requirements are met accurately and on time.
- Support dropout recovery site directors with enrollment tracking, student documentation, records follow-up, reporting needs, and operational support.
- Provide administrative and data support to the leadership team, registrar team, and school operations team.
- Assist with maintaining enrollment rosters, student reports, spreadsheets, forms, trackers, and other operational documents.
- Communicate professionally with internal staff, school partners, site directors, and external agencies regarding student records, enrollment status, and required documentation.
- Follow up on missing, incomplete, or inaccurate student records and documentation.
- Maintain confidentiality of student, family, and school information at all times.
- Ensure student records are organized, secure, and maintained in accordance with FERPA and school recordkeeping requirements.
- Support ongoing process improvement within the registrar team to improve accuracy, efficiency, and consistency.
- Assist with data cleanup, records reconciliation, and enrollment verification projects.
- Manage multiple priorities and deadlines in a fast-paced school operations environment.
- Perform other duties as assigned to support the daily needs of the school, registrar team, leadership team, and dropout recovery programs.
Required Qualifications
- High school diploma or equivalent required.
- Experience working in an alternative school, credit recovery program, dropout recovery program, or similar non-traditional educational setting is required.
- Experience using a student information system is required; Synergy experience is strongly preferred.
- Prior experience with student enrollment, registrar duties, student records, school compliance, attendance, or educational data entry preferred.
- Strong computer, data entry, organization, and records management skills.
- High attention to detail and accuracy.
- Ability to manage multiple priorities, deadlines, and requests in a fast-paced environment.
- Ability to work independently, take initiative, and follow through on tasks without constant direction.
- Ability to communicate professionally with school staff, leadership, site directors, and external partners.
- Ability to maintain confidentiality and handle sensitive student information appropriately.
- Dependable, punctual, flexible, and able to work on-site during assigned school hours.
- Must be able to obtain and maintain any required background or fingerprint clearance.
Preferred Qualifications
- Bilingual English/Spanish preferred.
- Knowledge of FERPA, student records, enrollment, attendance, audit preparation, and school compliance processes preferred.
- Experience supporting audits, compliance reviews, enrollment reporting, or partner documentation requests preferred.
- Experience working with at-risk, credit-deficient, or non-traditional high school students strongly preferred.
- Experience coordinating with school districts, authorizers, partner schools, or external educational partners preferred.
- Strong spreadsheet, reporting, and data tracking skills preferred.
