This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Coordinator and Manager based in India.
This role offers the opportunity to coordinate and manage projects that support organizations in the highly regulated life sciences industry. You will work closely with clients and distributed teams to plan activities, maintain timelines, and ensure deliverables stay on track. The position combines project coordination, client communication, documentation, and operational oversight. You will help manage technology and software implementation projects while identifying and escalating risks before they affect delivery. Working across teams in North America, Europe, and Asia, you will play an important role in keeping projects organized and moving forward. - Collaborate with clients and project teams to develop and maintain detailed project schedules, timelines, and action plans.
- Schedule and facilitate project meetings, prepare agendas and supporting materials, and publish accurate meeting minutes.
- Communicate regularly with team members to track action items, follow up on deliverables, and support timely project completion.
- Monitor project progress, identify potential risks or delays, and escalate issues appropriately to help prevent timeline slippage.
- Prepare and maintain key project documentation, including project charters, change requests, lessons learned, closure reports, and status reports.
- Consolidate inputs from project teams into presentations, periodic reports, metrics, training materials, and other client deliverables.
- Manage SharePoint sites and other project-related systems, ensuring information remains organized, accessible, and up to date.
- Monitor project mailboxes, organize communications, and maintain appropriate project records and archives.
- Support clients with routine project activities and contribute to additional project management responsibilities as required.
- Identify opportunities to improve project processes, tools, and ways of working while maintaining high standards of quality and client service.
- 3+ years of experience in project coordination and project management, preferably within the life sciences, pharmaceutical, biotechnology, or medical device sectors.
- Experience managing projects involving the implementation of computer systems or software within organizations regulated by health authorities such as the FDA, EMA, or MHRA.
- Demonstrated experience managing project tasks performed by clients and coordinating activities across remote and distributed teams.
- Knowledge of pharmacovigilance processes and systems is advantageous but not required.
- Bachelor’s or Associate’s degree (BS or AS); a project management certification is beneficial but not mandatory.
- Strong proficiency in Microsoft Office applications, particularly Word, PowerPoint, Excel, and Outlook.
- Proficiency with SharePoint and project-related collaboration or information management systems.
- Excellent organizational skills, strong attention to detail, and a proactive approach to identifying and addressing project issues.
- Excellent written and verbal English communication skills, with the ability to collaborate effectively with internal and external stakeholders.
- Ability to work independently, prioritize multiple tasks, manage deadlines, and remain self-motivated in a remote environment.
- Strong client-service mindset and commitment to achieving high levels of client satisfaction.
- Ability to collaborate effectively with virtual teams across the US, Europe, and Asia.
- Willingness and ability to learn and apply new technologies and tools as project requirements evolve.
