Job Summary:

The HR & Office Administrator is responsible for supporting the day-to-day Human Resources and administrative operations of the company. This position manages the full-cycle recruitment process, supports employee onboarding and HR administration, and coordinates general office operations including payments, purchasing, inventory control, shipping, and receiving.

The ideal candidate is organized, responsive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. This role works closely with department managers, employees, vendors, and external partners to ensure HR and administrative processes are completed accurately and efficiently.

Key Responsibilities:

· Manage full-cycle recruiting activities, including job postings, candidate sourcing, resume screening, interview coordination, candidate communication, and offer preparation.

· Coordinate pre-employment and onboarding activities, including required documentation, background checks, drug screening, orientation scheduling, and new hire setup.

· Maintain accurate employee, applicant, recruiting, and HR records in company systems and files.

· Support employee changes, transfers, terminations, and other routine HR administrative processes.

· Respond to general employee and manager HR questions and escalate more complex matters to HR management as appropriate.

· Support recruiting events, employee communications, training coordination, and other HR projects as assigned.

· Manage general office administrative activities and ensure office supplies, employee materials, and other necessary items are available.

· Monitor inventory levels and maintain accurate records for office supplies, uniforms, onboarding materials, equipment, and other assigned items.

· Coordinate purchasing and place approved orders with vendors based on business and inventory needs.

· Receive, review, organize, and submit invoices and payment requests with appropriate supporting documentation.

· Coordinate with Finance/Accounting and vendors regarding invoices, payment documentation, discrepancies, and related administrative matters.

· Coordinate incoming and outgoing shipments, including packaging, labels, shipping documentation, delivery tracking, and distribution of received items.

· Maintain organized purchasing, inventory, shipping, receiving, invoice, and vendor records.

· Communicate and coordinate with employees, managers, vendors, carriers, and external partners to support efficient HR and office operations.

· Perform other HR and administrative duties as assigned based on business needs.

Requirements: Required Qualifications:

Education & Experience:

· Associate’s or Bachelor’s degree in Human Resources, Business Administration, Management, or a related field preferred.

· 1–3 years of experience in Human Resources, recruiting, office administration, or a related field preferred.

· Experience with full-cycle recruiting, onboarding, and general HR administration preferred.

· Experience with purchasing, invoice processing, inventory control, shipping and receiving, or office operations is a plus.

· Experience using HRIS, ATS, Microsoft Office, or similar business systems preferred.

Skills & Competencies:

· Strong organizational and time-management skills with the ability to manage multiple priorities.

· Strong verbal and written communication and interpersonal skills.

· High attention to detail and accuracy in documentation and recordkeeping.

· Ability to independently coordinate recruiting and administrative processes from start to completion.

· Strong follow-up, problem-solving, and task ownership skills.

· Ability to communicate professionally with employees, candidates, managers, vendors, and external partners.

· Proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams.

· Ability to maintain confidentiality and appropriately handle sensitive employee and company information.

· Ability to work independently while collaborating effectively across departments.

· Adaptability and ability to work effectively in a fast-paced, changing work environment.
