Bilingual Client Relations and Intake Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Bilingual Client Relations and Intake Coordinator based in United States.

This role serves as a key first point of contact for prospective and existing clients navigating important legal matters. You will combine compassionate communication with strong organization to guide clients through intake, consultations, follow-ups, and administrative processes. The position requires careful handling of sensitive information while maintaining accurate records and consistent communication. You will coordinate closely with a legal team to ensure client information is complete, organized, and ready for review. The ideal candidate is comfortable handling urgent or high-stress situations while delivering professional and empathetic service. This is a fully remote opportunity for a bilingual professional who enjoys meaningful client interactions and a fast-paced, service-oriented environment.

Accountabilities:
  • Serve as the primary point of contact for prospective clients throughout the initial intake process.
  • Conduct initial immigration intakes and gather detailed, accurate client information.
  • Schedule consultations, appointments, and meetings with clients and prospective clients.
  • Follow up with potential clients regarding eligibility, consultations, and next steps.
  • Answer and manage urgent inbound calls from prospective clients.
  • Communicate with existing clients regarding case updates, general questions, and relevant next steps.
  • Coordinate communication between clients and members of the legal team.
  • Document, organize, and maintain intake information for attorney review.
  • Ensure client records, notes, communications, and case information remain accurate and up to date.
  • Manage and maintain client information within CRM and case management systems.
  • Track follow-ups and maintain consistent communication with leads and existing clients.
  • Generate and send proposals, agreements, and other related documents as needed.
  • Send payment links and collect consultation fees using designated payment platforms.
  • Support administrative and operational activities associated with the intake process.
  • Provide prompt, professional, and empathetic customer service throughout the client journey.
  • Handle sensitive and urgent client situations with discretion, patience, and sound judgment.
  • Maintain confidentiality when handling personal, legal, and case-related information.
  • Collaborate closely with the legal team to ensure smooth and efficient intake coordination.
  • Manage multiple client requests and priorities while maintaining accuracy and service quality.
  • Use available technology, including CRM, scheduling, communication, payment, and AI transcription tools, to support efficient client management.
Requirements:
  • Fluent English and Spanish communication skills, both written and verbal.
  • Strong customer service experience with a demonstrated commitment to client satisfaction.
  • Experience handling sensitive, confidential, or urgent client situations is highly preferred.
  • Ability to communicate with empathy, professionalism, and cultural sensitivity during high-stress interactions.
  • Strong active listening and interpersonal communication skills.
  • Excellent organization, follow-up, and time management abilities.
  • Ability to manage multiple priorities and ongoing client interactions simultaneously.
  • Ability to work independently while collaborating closely with a legal or professional services team.
  • Experience scheduling appointments, consultations, or client meetings.
  • Experience managing client records and CRM systems.
  • Ability to collect, organize, and document detailed client information accurately.
  • Strong attention to detail and commitment to maintaining accurate records.
  • Professional judgment, discretion, confidentiality, and problem-solving skills.
  • Ability to remain calm and effective when handling urgent or emotionally sensitive situations.
  • Strong reliability, accountability, determination, and work ethic.
  • Service-oriented mindset with a focus on delivering a positive client experience.
  • Familiarity with immigration law is appreciated but not required.
  • Familiarity with DocketWise, LawPay, Grasshopper, Calendly, or Ruby Receptionist is beneficial.
  • Experience with Google Workspace, Gmail, AI transcription tools, and payment processing platforms is beneficial.
  • Comfortable working remotely and maintaining consistent communication with distributed teams.
  • Availability to work Monday through Friday during the required Central Time schedule, approximately 8:30 AM–5:30 PM CST/CDT.
  • Ability to support a medium-volume call environment while maintaining quality and professionalism.
