Inbound Customer Service
- Serve as the primary inbound contact for existing policyholders with questions, billing issues, or coverage inquiries
- Act as a backup acknowledgment contact for inbound quote requests when agents are occupied; if a quote submission has not been acknowledged within a few minutes of receipt, send a confirmation on the agency's behalf and notify the assigned agent — no F&I manager should ever be left wondering whether their submission was received
- Resolve routine requests independently; escalate issues that require agent involvement with a complete summary of the situation
- Log every customer interaction in the agency management system without exception; no contact goes unrecorded
Renewal Outreach
- Proactively contact policyholders 45 and 30 days before renewal to confirm coverage, update account information, and secure the renewal
- Identify customers whose coverage needs may have changed and flag cross-sell opportunities to the assigned agent
- Track renewal outreach completion rate weekly and report results to agency leadership
Cancellation Saves
- Attempt to retain every policy at risk of cancellation by reviewing coverage options, presenting payment plan alternatives, or exploring competitive carrier options
- Document all save attempts in the agency management system regardless of outcome
- Alert agency leadership when cancellation volume trends upward week over week; early identification protects the agency's renewal rate
Routine Documentation
- Fulfill certificate requests, ID card requests, and coverage verification letters promptly; same-business-day turnaround with a target of under two hours when possible
- Coordinate with the assigned agent on any documentation that requires policy changes or direct carrier contact
Customer Satisfaction
- Approach every interaction with the goal of leaving the policyholder confident that the agency is responsive, knowledgeable, and on their side
- Escalate any customer complaint or service failure to agency leadership within the same business day; no dissatisfied customer sits unresolved
Continuing Education
- Complete all continuing education requirements applicable to any insurance license or designation held; CE is a personal professional obligation and must be met on time without exception
- Stay current on carrier updates, policy servicing changes, and regulatory developments that affect how customer inquiries and renewals are handled
Qualifications
Required
- 1+ years of customer service experience in insurance, financial services, or related professional environment
- Strong written and verbal communication skills with a warm, professional service approach
- High attention to detail and strong organizational habits; this role touches active policies and documentation accuracy matters

- Active Property & Casualty (P&C) Producer License or willingness to obtain
- Experience in a policy servicing, renewal, or retention-focused role
- Familiarity with personal lines insurance products including auto, homeowners, renters, and specialty lines
- CISR designation or active pursuit
