Manager, Special Events (Multiday Programs)

CLASSIFICATION Year-round

FLSA Exempt

REPORTS TO Vice President, Special Events & Hospitality

LOCATION Park City, Utah (hybrid)

TRAVEL 25–35%, primarily domestic with some international

SALARY $64,000

Summary

Owns the production and flawless execution of U.S. Ski & Snowboard's multiday special events — the Partner Summit, Congress, Board of Trustee Meetings, and other multi-day internal or partner gatherings. This role manages the full arc of a multi-day program: group hotel and meeting-space logistics, agenda and content coordination, gifting, communication, vendor management, and on-site production.

Roles & Responsibilities

Multiday Event Production

  • Lead end-to-end production of multi-day gatherings: Partner Summit, Board of Trustee Meetings, Ambassdor Meetings and other multi days events
  • Manage group hotel blocks, meeting space contracting, and on-site logistics across multiple days
  • Manage gifting and support the development of f & b for all multiday events.
  • Coordinate agenda, content, and speaker logistics with department stakeholders
  • Own event-specific budgets, tracking expense against targets across the full multi-day program
  • Cross-Functional Coordination

  • Partner with Communications/Marketing/Creative on event promotion and content
  • Partner day-to-day with the Assistant Director of Hospitality for on-the-ground support and coordination, in addition to coordinating on any multi-day event with a VIP or donor hospitality component attached
  • Athlete Support

  • Coordinate athlete appearances at multi-day events in partnership with team managers or athlete coordinator
  • Foster relationships between events, athletes, and the organization
  • Promote athletes through strategy, integration and appearances at multi-day engagements
  • Donor & Partner Retention

  • Design event touchpoints around multi-year retention, not single-event satisfaction — repeat invitations, tiered donor/partner experiences, and year-over-year relationship building across the event calendar
  • Use post-event feedback and attendance data to continuously refine event programming, tracking donor and partner return/retention rate as a core success metric
  • Partner with Foundation and Commercial leadership to align event experiences with each donor's or partner's giving or partnership trajectory, not just the individual event
  • Other Duties
  • Maintain event inventory and production equipment for multi-day programs
  • Support other divisional and cross-departmental events as assigned
  • What You'll Need
  • 3+ years producing multi-day conferences, summits, or similar group programs — CMP or similar preferred
  • Degree in Event Management, Hospitality, Sports Management or similar area preferred
  • Comfortable negotiating vendor contracts and managing a budget
  • Strong project management under deadline pressure
  • Able to travel domestically, and occasionally internationally, up to 35%
  • Valid driver's license; able to obtain a passport
  • Available nights, weekends, and holidays around the event calendar
  • Competencies
  • Track record managing large-group logistics (50–200+ attendees)
  • Comfortable owning a budget and reporting against it
  • Clear, professional communicator across internal and external stakeholders
  • Adaptable under pressure; solves problems on-site in real time
  • Supervisory Responsibilities

    To be confirmed with HR/leadership — likely event-day or seasonal staff.

    Physical Requirements
  • Able to lift 25+ lbs.
  • Able to work outdoors in varied and extreme temperatures during on-snow multi-day activations
