About This Position

  • Position Summary
    • The Registration Office Assistant registers patients in an efficient and orderly manner while ensuring that accurate patient information is collected and entered into the electronic medical record. This position is also responsible for educating patients on hospital policy and procedures, collecting payments and copays, and providing excellent customer service. The Registration Office Assistant will also schedule patients in accordance with physician request, make phone calls for preregistration and appointment reminders.

      • Required:
        • Must have Windows based computer knowledge.
        • Must be able to type 40 wpm accurately.
        • Must have excellent customer service skills and a pleasant speaking voice.
        • Must be able to work under pressure and work with frequent interruptions.
        • Must be able to adapt and work with a flexible work schedule.
      • Preferred:
        • Medical terminology knowledge
  • Essential Job Functions
    • Answers incoming telephone calls in a timely manner using appropriate telephone etiquette. Assists patients with scheduling appointments as well as providing additional assistance as needed. Will display the knowledge of utilizing other available resources and staff to meet the patient needs.
    • Accurately registers patients by collecting and entering patient demographics and insurance information to ensure the patient record is maintained with the current and correct information. Scans insurance cards, scans and/or copies other forms as needed, captures patient photograph for identification as well as patient signatures for consents and billing agreements. Collects and documents patient copays, verifies amount at end of each shift to assist in the balance of transactions.
    • Maintains knowledge of schedules and preferred scheduling methods of providers.
    • Demonstrates the ability to handle patient needs in both simple and complex situations, including giving precedence to patients with emergent needs in a calm and timely manner.
    • Strives to make good use of time by prioritizing routine work duties such as appointment reminder phone calls, preregistration phone calls and schedules, reviewing patient demographic forms for accuracy, scanning, accepting other work as assigned and openly assisting others as requested.
    • Monitors alarms, security cameras and ambulance radio as necessary, announcing codes or alerting appropriate departments as needed.
    • Understands HIPAA guidelines and respects patient confidentiality.
    • Assists in keeping a clean physical environment of office/registration and waiting areas.
    • Displays punctuality, dependability and flexibility, including a rotating weekend schedule, and coverage for sports physicals and urgent care clinics, as needing. Assists with covering of unscheduled shifts in times of need to ensure all work areas are adequately staffed.
    • Performs all other duties as assigned.
