About This Position

Summary
The Special Projects Assistant will support a variety of organizational initiatives, including file transfer and organization projects, event support, and basic facility maintenance. This position requires strong attention to detail, the ability to work independently and as part of a team, and a willingness to assist with both administrative and hands-on tasks. The ideal candidate will be dependable, organized, and adaptable in a dynamic work environment.
Essential Duties & Responsibilities
File Transfer & Organization
- Assist with large-scale file transfer projects, including organizing, sorting, digitizing, and maintaining records.
- Ensure accuracy, consistency, and confidentiality of all files and documents.
- Develop and maintain organized filing systems (physical and digital).
Event Support
- Assist with the setup and breakdown of special events, meetings, and outreach activities.
- Transport, arrange, and organize materials and equipment as needed.
- Support staff during events to ensure smooth operations.
Facilities Support
- Perform light facility maintenance tasks such as changing light bulbs, basic repairs, and minor upkeep.
- Assist with light custodial duties, including cleaning, organizing shared spaces, and maintaining a safe work environment.
- Identify and report maintenance needs or safety concerns.
General Administrative Support
- Provide assistance with special projects as assigned.
- Maintain organization of supplies, equipment, and workspaces.
- Support team members with miscellaneous operational tasks.
Additional Duties
- Perform other duties as assigned to support agency operations and projects.
Education & Experience Qualifications
Education:
- High School diploma or equivalent required.
Experience:
- Experience in administrative support, facilities work, or project assistance preferred but not required.
Preferred Qualifications
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and adapt to changing priorities.
- Basic knowledge of file management systems and general maintenance tasks.
- Ability to work independently and as part of a team.
- Strong work ethic and reliability.
