Position Overview:
Reporting to the director of finance, this role is responsible for full-cycle accounts payable operations, corporate card administration, and general accounting support. Key responsibilities include preparing journal entries, reconciling general ledger accounts, and assisting with data collection and documentation for the annual audit and tax filings.
Requirements:Accounts Payable Responsibilities
- Vendor Setup and Maintenance: Establish and maintain vendor records, ensuring all required documentation (e.g., W-9 forms) is received and up to date. Facilitate vendor enrollment in ACH/online payments in accordance with internal verification and approval procedures.
- Invoice and Purchase Order Matching: Transition vendors to paperless invoicing whenever possible. Review invoices against purchase orders to confirm proper approvals, accurate pricing and quantities, and receipt of goods or services.
- Invoice Processing (Bill.com): Enter and route invoices in Bill.com, ensuring all purchase order requirements are met and appropriate documentation is attached.
- Vendor Statement Reconciliation: Review vendor statements and compare them to Bill.com records to confirm all invoices are accounted for and paid. Investigate and resolve any discrepancies with vendors.
- Monitoring Open Items: Regularly review open purchase requisitions, purchase orders, and uncashed checks. Follow up on outstanding items, including missing approvals, invoices, or receipts, and address checks outstanding beyond 30 days.
- Accounts Payable Reconciliation: Perform monthly reconciliations between Bill.com and the Veracross General Ledger. Research and resolve any variances.
- 1099 Reporting: Maintain accurate vendor and transaction records to support annual 1099 filings. Prepare and file 1099 forms and related reports in January.
General Accounting Responsibilities
- Prepaid Account Reconciliation: Prepare monthly reconciliations for prepaid accounts, ensuring balances align with recorded activity.
- Corporate Card Administration: Record monthly corporate card activity and follow up with employees on incomplete transactions or expiring balances.
- Training and Support: Provide training and guidance to employees on purchase requisitions, purchase orders, and proper use of corporate cards.
- Employee Support and Journal Entries: Respond to accounting-related inquiries and prepare adjusting journal entries as needed.
- Team Support: Serve as backup to fellow accounting staff to help ensure timely and accurate internal and external reporting.
- Additional Duties: Perform other accounting and administrative tasks as assigned.
Minimum Qualifications:
- College degree in accounting and 2-3 years applicable experience
- Strong interpersonal skills with the ability to interact with internal and external members of a diverse community in a friendly and professional manner.
- Detail-oriented, with the ability to work within time constraints, managing multiple priorities.
- Good listening, oral, written and critical-thinking skills.
- Advanced knowledge of Excel and Google Sheets.
- Ability to provide strong customer service.
Hourly Range: $26-$30
In making an hourly range determination, we consider professional experience, applicable qualifications and other job-related factors. Based on these factors, a candidate’s hourly offer could exceed this range.
