Student Accounts Generalist

Georgian Court University is seeking applicants for a Student Account Generalist. The office encompasses the Financial Aid, Registrar, and Student Accounts / Bursar Departments in one convenient location on campus to provide students with a seamless and efficient experience.

The Student Accounts Generalist is often the first point of contact for students and families who have questions about their tuition, billing, or payment options. This entry-level position is designed for someone who enjoys helping others, can explain financial information clearly, and thrives in a fast-paced, student-centered service environment. A primary function of this role is processing payments and assisting students with understanding their financial responsibilities. The Generalist will be responsible for providing exceptional customer service through interaction with students, families, and external contacts regarding inquiries on all aspects of a student's account. Performs essential administrative functions to maintain the quality and integrity of student accounts.

The candidate will provide key administrative service to the Student Accounts operation and serve as the primary contact to coordinate the flow of student and family inquiries related to their student tuition account, billing, collections, and transaction processing related to various student services. The Generalist is the primary contact for students and parents and promptly responds to escalated queries received and routes them accordingly. This position demonstrates a thorough understanding of department and university policies. The Generalist is cross-trained in reviewing and evaluating data found in Financial Aid, Registration, Admissions, and Residence Life modules of the University systems in order to provide a more complete picture of the student's tuition account and ensure optimal customer service.

Key Responsibilities

Frontline Student Service & Payment Support

  • Greet and assist students and families at the front counter with professionalism and patience.
  • Process tuition and fee payments, including checks, cash, and online transactions.
  • Help students understand their bills, payment deadlines, and available payment options.
  • Provide guidance on monthly payment plans and help families select the option that best fits their needs.
  • Communicate clearly—whether in person, by phone, or via email—to answer questions and resolve concerns quickly.

Billing & Financial Plan Guidance

  • Review student accounts to explain charges, credits, financial aid, and remaining balances in an easy-to-understand way.
  • Assist students and parents in interpreting financial aid awards and understanding how aid applies toward their bill.
  • Walk students through the steps needed to stay on track for payment deadlines and enrollment requirements.

Account Review & Refund Processing

  • Analyze student account activity to ensure accuracy of charges, financial aid postings, and payments.
  • Verify credit balances and support the processing of student refunds, including Federal Title IV refund requirements.
  • Assist students in understanding the refund timeline and what to expect.

Campus Collaboration & Student Referrals

  • Serve as a connector by directing students to the correct campus offices (Financial Aid, Registrar, Housing, Athletics, etc.).
  • Act as a liaison between Student Accounts and other departments to gather required information and support student success.

Administrative & Operational Support

  • Maintain the department email inbox and respond to routine questions with clarity and accuracy.
  • Post late fees and miscellaneous charges as needed; ensure student system records are accurate and updated.
  • Help with billing for special programs and assist with housing/room & board billing and housing deposit reconciliation.
  • Support ongoing collection efforts for current and past-due accounts under the direction of the Assistant Director.
  • Perform general office tasks such as answering phones, routing messages, filing, mailings, and preparing simple spreadsheets.
  • Participate in special projects and other duties that support the overall functioning of the office.
  • Qualifications

    Required

    • Associate degree.
    • Strong communication skills with a friendly, student‑centered approach.
    • Ability to think critically and learn complex information related to billing, payments, and financial aid.
    • Positive interpersonal skills and the ability to work well with a team.
    • Flexibility to work some evenings and weekends, especially during peak times.
    • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Preferred

    • Bachelor’s degree.
    • Experience in customer service, cashiering, or working in a student-facing environment.
