This role plays a key part in supporting the vehicle title processing lifecycle within a high-volume, fast-paced operational environment. You will work closely with insurance companies, lien holders, vehicle owners, and state agencies to ensure accurate and timely handling of title documentation and related compliance requirements. The position involves managing both inbound and outbound communication, resolving documentation issues, and ensuring all files meet strict state and internal guidelines. You will contribute directly to the efficiency of vehicle processing workflows by maintaining accuracy, meeting cycle times, and supporting financial transactions linked to total loss claims. This is a detail-oriented and customer-focused role that requires strong organization and the ability to multitask effectively. It is well suited for someone who thrives in structured processes and enjoys problem-solving in a dynamic operational setting.
- Manage inbound call queues by answering basic title-related inquiries, providing claim updates, and routing requests to appropriate teams when needed.
- Prepare, create, and send total loss documentation packets in compliance with state-specific requirements and company standards.
- Conduct initial outreach to lien holders to obtain payoff information, letters of guarantee, and title copies necessary for processing.
- Communicate with vehicle owners and insured parties to notify them of required documentation packets and follow up on missing or corrected materials.
- Perform follow-up communications with lien holders and customers to ensure timely receipt of required documents and resolve outstanding issues.
- Review incoming mail and documentation to ensure compliance with state regulations and internal processing guidelines.
- Authorize “Okay to Pay” releases to insurance partners following final compliance review of completed files.
- Monitor shared inboxes and ensure all tasks are completed within established timelines, cycle times, and contractual obligations.
- Support additional operational tasks as assigned to maintain workflow efficiency and service quality.
- Minimum of 1 year of office-based customer service or administrative experience.
- High school diploma or equivalent education required.
- Proficiency in Microsoft Office tools and basic office equipment.
- Strong ability to review, interpret, and analyze vehicle title documents according to state and company guidelines.
- Experience working with or communicating with DMV offices, lien holders, or similar entities is highly valued.
- Strong multitasking, organization, and workflow prioritization skills in a fast-paced environment.
- Excellent written and verbal communication skills with strong customer service orientation.
- Basic math and 10-key data entry proficiency.
- Ability to work independently and collaboratively within a team setting.
- Fluent English reading and writing skills required.
- Valid driver’s license required.
