Job Description

Position Summary:

The Floor Coordinator serves as the first point of contact for patients in a high-volume medical practice. This role is responsible for managing front desk operations, coordinating appointments, supporting patient outreach activities, and facilitating communication between patients and healthcare providers. The position supports quality initiatives, including preventive care and chronic care follow-up, while delivering a positive and culturally competent patient experience.

DETAILED DESCRIPTION OF POSITION:

  • Manage front desk operations in a fast-paced medical office, ensuring efficient patient flow and professional customer service.
  • Schedule, confirm, and coordinate patient appointments to support timely access to care and reduce no-show rates.
  • Complete patient registration, intake, and documentation accurately and efficiently.
  • Provide bilingual (English/Spanish) assistance to patients to ensure clear communication regarding appointments, services, and follow-up care.
  • Conduct between-visit patient outreach to support preventive care, chronic disease management, and care gap closure.
  • Support quality improvement activities, including patient reminders, documentation follow-up, and care coordination. Connect patients with internal services and external community or healthcare resources as appropriate.
  • Facilitate effective communication between patients, providers, clinical staff, and administrative teams.
  • Maintain accurate patient records within the electronic health record (EHR) system in compliance with HIPAA and organizational policies.
  • Adhere to all applicable privacy, safety, and compliance standards.

MINIMUM QUALIFICATIONS:

  • High School Diploma or GED required
  • One year experience medical office or healthcare administrative role preferred
  • Bilingual in English and Spanish required or strongly preferred Familiarity with EHR/EMR systems
  • Knowledge of medical terminology and scheduling workflows preferred
  • Other duties as assigned

TYPICAL PHYSICAL DEMANDS:

Requires full range of body motion including handling and lifting patients, manual and finger dexterity, and hand-eye coordination. Occasionally lifts and carries items weighing up to 50 pounds. Requires normal or corrected vision and hearing to normal range.

TYPICAL WORKING CONDITIONS:

Frequent exposure to communicable diseases, toxic substances, ionizing radiation, medicinal preparations, and/or other conditions common to a clinic environment.
