ABOUT CENTRO DE LA FAMILIA (CDLF)
We offer outpatient behavioral health services for families and individuals of all ages, including those living with serious mental illness (SMI), general mental health issues, and substance abuse issues. Outpatient services offer flexible office hours and home-based services for children and their families, public transit accessibility, and therapy in English and Spanish.
POSITION SUMMARY
The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. This position supervises administrative staff and the maintenance of office records. Their focus is on ensuring the members have a pleasant experience while in the clinic.
SPECIALIZATIONS
The Office Manager demonstrates the ability to
- Navigate various systems such as AHCCCS, RBHA
- Supervise, review, and evaluate the work of staff, providing mentorship and appropriate delegation.
- Interpret, explain and apply regulations, policies and procedures, clearly and consistently
- Maintain a high level of confidentiality and integrity.
- Effectively communicate verbally and in writing to all levels of CPLC staff, leadership and community partners.
- Plan, organize and prioritize a diverse workload with competing demands and deadlines.
- Analyze and evaluate various problems and situations where processes and/or structures may not exist.
- Prepare clear, accurate and effective reports, correspondence and other written materials.
- De-escalate difficult issues and mediate conflicts that may arise with staff, clients or partners.
- Show interpersonal sensitivity and cultural competency, working with a diverse population, including clients.
JOB DEMANDS:
This position requires the individual to work with minimal supervision. Guidance is available as necessary; however, the individual is expected to be able to function autonomously and make individual decisions when appropriate. This position does require the ability to interact with a variety of individuals and the ability to meet deadlines and time pressure based on the volume of work.
MINIMUM QUALIFICATIONS AND COMPETENCIES
- At least two years of supervisory experience in the community social service sector is preferred.
- Experience working within a volunteer and/or nonprofit organization (desirable).
- Ability to navigate the current EMR system to perform workload.
- Competencies and software applications and programs. (particularly Microsoft Office Professional, including programs such as Excel, Word, Publisher, PowerPoint, Access, and Outlook)
- Excellent word processing, database and file management skills.
- Ability to prioritize assignments and workload within limited time frames ability to handle a demanding workload with limited direct supervision.
- Good working knowledge of office equipment and procedures including computers, photocopiers, printers, fax machines, mailing equipment, telephone systems, filing systems, etc.
- Excellent customer service skills and superior telephone mannerisms.
- Excellent interpersonal skills, helpful friendly attitude
- Must possess personal tact, discretion and good judgment.
- Excellent written and verbal communication skills.
- Must provide clean criminal record.
