Summary:

The Ponca Tribe of Nebraska is a federally recognized Tribe with its ancestral homeland located in Niobrara, NE. The Tribe does not have a reservation in the classic definition; rather, the Ponca Restoration Act defined its jurisdiction as a ‘Service Delivery Area’ comprised of 15 counties throughout parts of Nebraska, Iowa, and South Dakota. Within its Service Delivery Area, the Tribe offers a broad range of health, social, educational, and cultural services.

The Human Services Administrative Assistant II will perform a variety of administrative and clerical duties for the Human Services Director and staff within the Human Services department. The position will be available to assist in various office locations and will need computer experience utilizing the database systems throughout the Human Services Department. This staff member will need to professionally communicate with members, clients, and survivors to ensure their needs are met in a timely manner.

Essential Responsibilities and Duties:

  1. Organize appointments, meetings, and travel arrangements/schedules.
  2. Attend required trainings relevant to essential position responsibilities, to include any child care training events to assist in the facilitation of child care funding.
  3. Organize and maintain a filing system in compliance with funding regulations.
  4. Process department/program requests for purchases and reports monthly amounts.
  5. Provide additional support (clerical and administrative) as required to the other Human Service staff as needed.
  6. Provide support services and aid with case management with other staff.
  7. Maintain case documentation and electronic records within established database systems.
  8. Prepare departmental staff meeting agendas, calendar, and minutes, as needed.
  9. Assist in the management of the Child Care grant in the absence of a CCDF Administrative Assistant.
  10. Maintain confidentiality at all times.
  11. Develop professional relationships with other local, state, federal, and tribal programs providing services to children and families to increase services and provide strengths-based approaches.
  12. Other duties as assigned.

Relationships and Authority:

This position has no supervisory duties. Works closely with other departments including Behavioral Health, Child Welfare, Youth Services, Domestic Violence, Workforce Development, Education, Health Services, Culture, ICWA Specialist, Ponca Tribe of Nebraska employees, as well as external organizations and agencies.

Working Environment and Physical Demands:

Physical requirements include carrying/lifting up to 5 pounds, frequently; up to 10 pounds, regularly; and up to 25 pounds, occasionally. Visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to drive an automobile and operate computer keyboard and basic office equipment; subject to carrying, lifting, twisting and reaching to perform essential job functions. Working conditions are primarily in an office environment with occasional travel to other locations. At times staff may be required to work with patients/clients who are in crisis and demonstrate empathy, understanding, respect, and advocacy while remaining calm in stressful situations

This role routinely uses standard office equipment such as computers, phones, printers, scanners, and photocopiers. This staff will sit, stand, bend, lift, and move intermittently during work hours. This position will be subject to potentially emotionally disturbing material as presented to staff, clients, and outside entities.

This position will require occasional work outside normal business hours, including evenings and weekends.

Extensive travel throughout the Ponca Service Delivery Area will be required.

Qualifications:

Minimum:

  1. High school diploma or GED.
  2. One year of office/clerical experience.
  3. Computer proficiency in Microsoft Word, Excel, and PowerPoint programs.
  4. Excellent written and oral communication skills.
  5. Successfully pass drug and alcohol testing, education, character, and criminal background checks.
  6. Able and willing to travel.

Preferred:

  1. Associate’s degree in human services, office administration, or related field or equivalent combination of experience and education.
  2. One year of experience in social work or related field.
  3. One year of experience working with Native Americans or Native American organizations.
  4. Knowledge and understanding of Public Law 93-638: Indian Self-Determination Act, Tribal organizations and funding opportunities.
  5. Valid driver’s license and be insurable by PTN motor vehicle insurance.

Preference will be given to Ponca Tribe of Nebraska members or members of a federally recognized tribe. However, all qualified individuals are eligible.
