Job Description
Position Title: Business Manager/Bookkeeper
Reports to: Community Manager
Supervises: N/A
FLSA: Non-exempt, hourly
Type of Position: Full Time
Minimum 1 year of experience in the property management industry or equivalent is required. Experience with computers (Word and Excel), Internet and Yardi is a plus. A high school diploma or equivalent is required. CAM, ARM, or CCRM designations are a plus as is a college degree. In addition, proven experience in the following is required:
1. Ability to interact well with co-workers, supervisors, guests, vendors, contractors, and the public in a professional and pleasant manner.
2. Above average computer skills.
3. Ability to accurately perform intermediate mathematical functions.
4. Strong customer service.
5. The On-Site bookkeeper supports and assists the community manager in overseeing and managing the financial facets of the community by completing any accounting and bookkeeping tasks.
Essential Job Functions:
Assist the Community Manager in the management of the day to day operations of the community to achieve the highest level of professionalism by all Team Members in the office and on the community. These duties include but are not limited to the following:
a. Adhere to FLF Management’s Leasing and Marketing, Management and Operations, Maintenance, and Emergency Procedures manuals along with the Team Member Handbook.
b. Reviewing and submitting invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased.
c. Management monthly invoice statements to ensure all invoices are entered in a timely manner
d. Data entry into property management software assets to track property investments.
e. Follow up with vendors to ensure they are complaint with Net Vendor and meet insurance requirements.
f. Manage collections, setting up payment plans, and correspondence with Hunter Warfield
g. Update collection log weekly with all payment plans and enter memo notes in Yardi
h. Prepare and enter petty cash into Yardi.
i. Data entry into Microsoft Excel FPL meter readings to adhere to Green Initiatives and any other data entry required by Community Manager.
j. Maintain office and resident files (paper and online) in a confidential and secure manner using the FLF Management standard.
k. Meet with the Community Manager to go over daily tasks.
l. Safeguard and assure all invoices received on the community are properly entered into system per FLF Management standard.
m. Comply with all training requirements set forth for this position.
n. Back up leasing, if needed to cover time off for leasing team.
o. Operate the office in a professional, clean, uncluttered, and well-staffed manner.
p. Assist with planning resident functions & managing social media post for the property.
