JOB SUMMARY
The Trade Show & Events Coordinator is responsible for driving the successful execution of ECRS trade shows, regional conferences, and networking events. Reporting to the Partners & Events Manager, this role supports the planning, coordination, and execution of event activities that strengthen the ECRS brand and create meaningful engagement and lead-generation opportunities.
The ideal candidate demonstrates disciplined initiative, is highly organized, detailed, proactive, and solutions-oriented, with the ability to manage multiple priorities while continuously improving processes and event outcomes. This role plays a key part in expanding the Marketing Department's capacity by ensuring events are executed with excellence and by creating scalable processes that support long-term growth.
RESPONSIBILITIES
Event Execution & Planning
- Support the successful execution of trade shows, regional conferences, and networking events.
- Develop and manage project plans, timelines, and event checklists to ensure successful execution.
- Anticipate challenges, identify solutions, and proactively address issues before they impact event success.
- Support the development and execution of event marketing plans, attendee communications, and promotional activities.
- Ensure events are delivered on time, within budget, and aligned with organizational objectives.
- Maintain a centralized annual events calendar and ensure visibility across departments.
- Coordinate event activities across Marketing, Sales, Product Management, Customer Success, and Leadership teams.
- Facilitate planning meetings, track action items, and communicate key deadlines and milestones.
- Ensure stakeholders are aligned, informed, and prepared for event participation.
- Coordinate registrations, exhibitor requirements, booth assets, shipping, vendors, and event logistics.
- Ensure all events consistently reflect ECRS brand standards and business objectives.
- Support onsite event execution and help create a positive experience for attendees, customers, and prospects.
- Identify opportunities to improve attendee engagement and event effectiveness.
- Support post-event reporting and ROI analysis.
- Contribute ideas and recommendations that strengthen the impact of ECRS event marketing initiatives.
- Maintain historical event documentation and reporting to improve future planning and decision-making.
- Continuously improve planning processes, documentation, and workflows by building repeatable systems that enhance event readiness, execution, efficiency, and attendee engagement.
QUALIFICATIONS:
- Associate degree or higher in Marketing, Communications, Event Management, Business Administration, or a related field.
- 1–3 years of experience in event coordination, trade show management, project coordination, or marketing preferred.
- Experience supporting trade shows, conferences, webinars, customer events, or other promotional activities preferred.
- Strong organizational and project management skills.
- Excellent verbal and written communication abilities.
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills with the ability to anticipate needs and proactively address challenges.
- High attention to detail while maintaining focus on broader business objectives.
- Experience collaborating across multiple departments and stakeholder groups.
- Proficiency with Microsoft Office applications and project management tools.
- Experience with CRM and marketing automation platforms preferred.
- Ability to travel up to 6 weeks per year or as needed, including occasional evenings and weekends. Must maintain a valid driver’s license and safe driving record.
- Must be physically able to lift 20+ pounds and assist with event setup and teardown activities.
- High-quality events delivered on time and within budget.
- Strong organization, communication, and execution across all assigned events.
