Who We Are
CONTACT is a fully remote crisis service provider, contracted through 988, providing crisis support by phone, chat, and text both locally and across the United States. In this role, you will support the HR functions that keep our crisis counselors equipped and able to focus on the mission.
This is a temporary, part-time position of up to 29 hours per week, scheduled during daytime hours Monday through Friday (Eastern Time). It runs through March 15, 2027. The schedule and daily hours are set by the HR Manager and may change based on workflow and department needs. Additional hours, including occasional weekend hours, may be requested during particularly busy periods. We will review the position as the end date gets closer to consider a permanent part-time role based on needs at that time. This posting does not guarantee a permanent position or a set number of hours.
Position Summary
The HR Assistant supports the daily administrative and compliance functions of the HR Manager, including attendance auditing, timesheet review, and disciplinary action tracking. This position investigates attendance and timekeeping issues, tracks documentation through resolution, and serves as a first point of contact for staff with HR-related questions, sharing general information and directing staff to the appropriate resource. This position is fully remote and reports directly to the HR Manager.
Primary Duties and Responsibilities
Attendance and Timekeeping
- Conduct weekly audits within the Unified Platform (UP) to confirm proper status usage (e.g., timely placement on queue), break, and meal period adherence. Log any flagged issues and their outcomes in the attendance tracking log.
- Review timesheets each week for schedule adherence, comparing actual time worked against the published schedule.
- Review attendance workflows at the start and end of each shift to keep the attendance spreadsheet accurate and current.
- Investigate discrepancies found during audits, timesheet review, or attendance workflow review, including timestamp issues, and document findings.
- Identify patterns in attendance, time punches, tardiness, and absences, documenting findings and bringing them to the HR Manager.
- Help resolve punch errors as needed by updating timesheets, verifying punches on UP and Slack, and assisting staff who are struggling to put in a change request appropriately.
Disciplinary Tracking
- Maintain the attendance tracking log, documenting flagged issues, findings, and outcomes for each case through resolution.
- Gather relevant facts and documentation on attendance and operational policy issues identified through audits or investigations, and route to the HR Manager for determination.
- Write out and track the initiation, completion, and delivery of HR attendance-related disciplinary actions to help ensure consistency, timeliness, and proper documentation. Drafts are reviewed and approved by the HR Manager before delivery.
- Maintain confidentiality of all employees regarding personnel files and related information.
Staff Support
- Serve as a point of contact for staff with HR-related questions, sharing general information and directing staff to the appropriate resource or person for anything requiring HR Manager involvement.
- Help staff navigate HR-related forms and processes.
- Complete employment verification and reference requests as needed, in accordance with organizational policy and applicable privacy and confidentiality guidelines.
- Provide general information on ADA-related questions and direct staff to the ADA point of contact for formal accommodation requests or detailed guidance.
- Know and follow CONTACT's Operational Handbook and all applicable company policies.
Privacy and Compliance
- Manage the Privacy Channel for attendance tracking, HR-related questions, and related requests, ensuring processes comply with privacy and HIPAA standards.
- Handle all staff and client information as confidential, sharing only with those who have a legitimate need to know.
- Share information across departments only when necessary to complete a specific task, and limit what's shared to only what's needed.
- Apply this standard to all sensitive information encountered in the course of the role, including medical, personnel, and other personal details.
General HR Support
- Assist department peers and the HR Manager with needs as assigned.
- Assist the HR Manager with administrative tasks and special projects as assigned.
- Perform other duties as assigned in support of departmental and organizational needs.

Experience, Skills, Licenses/Certifications:
- 1+ years of experience in HR, administrative support, or a related field preferred
- Familiarity with timekeeping systems and general HR practices (training provided as needed)
- Comfortable reviewing detailed records and identifying discrepancies
- Skilled in handling sensitive information and maintaining confidentiality
- Proficient in Teams, Outlook, Excel, and Slack strongly preferred
- Strong written and verbal communication skills with a focus on clarity and consistency
- Highly organized, detail-oriented, and able to manage multiple priorities
Physical requirements include the ability to remain in a stationary position for prolonged periods and work continuously from a computer with high speed, secure internet.
