Triad Financial Services is a leading provider of financial services and solutions, serving clients nationwide. We are seeking a highly motivated and skilled Loan File Manager for our Land Home Department to join our growing team. The Loan File Manager is a highly experienced team member responsible for owning and managing land loan files from underwriting approval through closing and funding, with a specialized focus on Triad land products. This role serves as the point of accountability for file progression, communication, coordination, and execution, ensuring approved terms, conditions, documentation, and timelines remain aligned throughout the loan lifecycle. The Loan File Manager works closely with borrowers, dealers, brokers, internal teams, title companies, appraisers, and other third parties to remove obstacles, resolve issues, and deliver consistent, high-quality customer experience.
Essential Functions:
- Assume ownership of the loan file after underwriting approval and drive the file through closing and funding.
- Serve as the primary point of contact for borrowers, dealers, brokers, internal teams, title companies, appraisers, and other third-party partners.
- Provide proactive, professional, and consistent communication regarding loan status, outstanding requirements, next steps, and timing expectations.
- Coordinate across processing, underwriting, closing, funding, and external partners to obtain documentation, clear conditions, and maintain file momentum.
- Review, organize, validate, and monitor required loan documentation to ensure accuracy, completeness, and alignment with approved loan terms.
- Review, and manage title work, appraisals, surveys, payoff statements, insurance documents, verification forms, and other loan-related records as applicable.
- Analyze title commitments, valuation items, collateral documentation, and related materials to identify inconsistencies, risks, or issues that may impact closing.
- Track and manage outstanding stipulations and conditions, ensuring items are addressed timely and correctly before closing or funding.
- Identify, escalate, and help resolve title, valuation, documentation, compliance, timing, or customer service concerns before they delay closing or funding.
- Maintain accurate loan records and update loan origination systems and document management platforms throughout the file lifecycle.
- Ensure loan files meet company guidelines, regulatory requirements, investor expectations, service level agreements, and quality standards.
- Support audit, quality control, post-closing, and process improvement efforts by ensuring files are complete, organized, and accurately documented.

Work Experience Requirements, Knowledge, Skills, and Abilities:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Minimum of 2 years of experience in loan processing, loan administration, mortgage lending, consumer lending, title, closing, or a related financial services role preferred.
- Experience managing loan files, clearing conditions, coordinating closing-related activities, or supporting funding execution.
- Working knowledge of land loan documentation, underwriting conditions, title work, appraisals, surveys, payoff statements, collateral documentation, and insurance requirements.
- Understanding of company policies, investor requirements, service level expectations, and applicable federal and state lending regulations.
- Ability to analyze documentation for accuracy, completeness, consistency, and potential risk.
- Strong organizational and time management skills with the ability to manage multiple files, priorities, deadlines, and stakeholders simultaneously.
- Strong verbal and written communication skills with a customer-focused approach to borrowers, dealers, brokers, internal teams, and external partners.
- Ability to work independently, take ownership, solve problems, and escalate issues appropriately while collaborating across departments.
- Proficiency with loan origination systems, document management platforms, Microsoft Office Suite, Outlook, Word, and Excel.
Physical Demand:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Maintain consistent, punctual attendance in compliance with ADA, FMLA, and other regulations.
- Clear and articulate communication skills on the telephone.
- Ability to sit at a workstation for extended periods.
