Content Operations Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Content Operations Specialist based in United States.

The Content Operations Specialist will play a key role in keeping a fast-paced Content and Marketing function organized, efficient, and responsive.
You’ll manage workflows, coordinate projects, and ensure requests move smoothly from intake through completion.
The role combines project coordination, process management, webinar operations, vendor support, and employee onboarding.
You’ll work closely with multiple stakeholders while identifying opportunities to simplify processes and improve team productivity.
Technology and AI tools will be part of your toolkit for automating repetitive work and creating more scalable workflows.

Accountabilities
  • Manage incoming project requests and workflows through Monday.com or similar work-management systems, ensuring requests are accurately entered, assigned, prioritized, tracked, and completed.
  • Monitor project progress, coordinate with stakeholders, and proactively address bottlenecks to keep work moving efficiently.
  • Coordinate marketing activities related to office relocations, openings, and closures, including communications, website updates, timelines, and stakeholder coordination.
  • Identify workflow inefficiencies and recommend practical improvements, including automation opportunities and technology-enabled solutions.
  • Coordinate client and prospect webinars, including scheduling, registration, rehearsals, event execution, reporting, and post-event follow-up.
  • Partner with presenters and internal teams to deliver consistent, professional webinar experiences and improve related processes and templates.
  • Manage relationships and day-to-day communication with designated marketing vendors, ensuring requests and projects are completed accurately and on schedule.
  • Coordinate employee information updates, program administration, onboarding resources, training, and marketing technology access requests.
  • Support employee onboarding and offboarding activities while improving related documentation and processes.
  • Manage shared marketing inboxes, support ticket intake and routing, and ensure internal requests receive timely attention.
  • Maintain process documentation, team resources, and operational guidance while supporting special projects and broader Content team initiatives.
Requirements
  • 3–4 years of experience in operations, project coordination, workflow management, administrative support, or a related field.
  • Demonstrated ability to manage multiple priorities, high request volumes, and competing deadlines in a fast-paced environment.
  • Experience supporting multiple stakeholders and coordinating work across teams with strong follow-through.
  • Familiarity with Monday.com or comparable project/work-management platforms is preferred.
  • Experience using AI productivity tools such as Microsoft Copilot, Claude, or similar technologies.
  • Strong organizational skills and exceptional attention to detail, with a consistent focus on accuracy and process quality.
  • Ability to work independently, exercise sound judgment, prioritize effectively, and operate with minimal supervision.
  • Proven ability to identify inefficient workflows and implement or recommend practical process improvements.
  • Strong problem-solving, communication, and stakeholder-management skills, including the ability to explain processes clearly.
  • Excellent written and verbal communication skills, with the ability to create clear documentation and support materials.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Ability to quickly learn new systems, technologies, and processes and adapt to changing business needs.
  • Naturally curious, proactive, collaborative, and service-oriented, with a genuine interest in helping teams work more effectively.
  • Ability to maintain availability during standard business hours, Monday through Friday, 8:00 AM to 5:00 PM, with occasional early or late hours when business needs require.
