Job Description
DIRECT HIRE: Seeking an Assistant Project Manager/Account Manager to support the selling and managing of service projects and repair work within the HVAC controls and building automation space. This role bridges customer needs with technical execution, ensuring high-quality service delivery, timely communication and client satisfaction throughout each project lifecycle.

Basic Job Duties
Client Relations:
- Collaborate with clients to understand their building automation goals, system performance issues, and long-term objectives
- Address potential concerns early and maintain strong, trust-based relationships
- Deliver exceptional service that fosters long-term customer retention and referrals
- Identify opportunities to offer additional products (Service and projects)
- Help uncover upgrades, retrofits, and optimization opportunities during site visits or service reviews
- Work with account managers to identify and maintain key relationships
- Serve as a key point of contact between clients, technicians, and internal teams
- Provide regular updates on project milestones, service status, and roadblocks
- Set clear expectations from proposal through closeout
- Communicate professionally and promptly to resolve issues and clarify deliverables
- Assist in developing estimates for service projects, repairs, and replacements within building automation systems (e.g., controllers, sensors, VAV retrofits)
- Create clear, detailed proposals including scope, exclusions, and pricing breakdowns
- Identify resource needs (labor, equipment, materials) and document estimating assumptions
- Ensure timely follow-up with clients after proposals are delivered
- Document within existing CRM
- Kick off projects with assigned sales or account representatives
- Issue purchase orders, align subcontractors, and coordinate with vendors
- Schedule technicians via dispatch, ensuring resource availability and readiness
- Track project progress and proactively manage timelines and deliverables
- Keep clients updated with clear status reports and expectations for next steps
- Invoice jobs accurately and in a timely manner
- Collaborate with service and accounting teams to ensure proper billing and documentation
- Address client concerns and lead resolution efforts
- Coordinate with technical teams to resolve recurring issues and minimize downtime
- Reinforce a positive customer experience during any service disruption or challenge
- Maintain accurate and organized records of proposals, communications, and project data
- Support data analysis and performance tracking to identify future service or upgrade opportunities
- Stay informed on controls trends, product updates, and evolving building standards
- Share relevant insights with internal teams and clients to support smarter decision-making
- Monitor competitive pricing and recommend updates to maintain market alignment
- Champion a culture of continuous improvement by encouraging innovative ideas and process enhancements
- Collaborate with cross-functional teams to integrate improvements into the broader company strategy
- Support PMs with project setup, scheduling, and documentation
- Track submittals, RFIs, change orders, and project logs
- Coordinate material procurement and vendor communication
- Assist with job cost tracking and progress billing support
- Participate in project meetings and site coordination
- Help maintain QA/QC and closeout documentation
- Minimum 2–4 years of experience in construction, BAS, HVAC, or controls support roles
- Basic understanding of HVAC systems and building controls
- Ability to read plans and specifications (training provided)
- Strong organizational and communication skills
- Proficiency with MS Office and MS Projects; ERP or project software a plus
