About the Role

As the first point of contact for customers, business partners, and employees, our Receptionist plays a critical role in representing the professionalism, integrity, and customer-focused culture that defines our company.

We are seeking a friendly, organized, and service-oriented Receptionist who thrives in a fast-paced business environment and enjoys providing exceptional administrative support while creating a welcoming experience for everyone who interacts with Datamax. The ideal candidate is professional, dependable, detail-oriented, and possesses outstanding communication and customer service skills with the ability to multitask effectively in a dynamic office environment.

What You'll Do

Front Desk & Customer Experience

  • Welcome customers, visitors, vendors, and employees in a professional, courteous, and friendly manner.
  • Serve as the first point of contact for all guests and ensure a positive first impression of Datamax.
  • Maintain a clean, organized, and professional reception area.
  • Provide general information regarding company services and direct visitors to the appropriate department.
  • Coordinate visitor check-in procedures and notify employees of arriving guests.

Telephone & Communication Management

  • Answer and manage a multi-line telephone system promptly and professionally.
  • Screen, transfer, and route incoming calls accurately to the appropriate department or individual.
  • Take detailed and accurate messages and ensure timely delivery.
  • Monitor and respond to general company email inquiries when applicable.
  • Assist with internal and external communications as requested.

Administrative Support

  • Provide administrative assistance to various departments, including Sales, Service, Finance, Human Resources, and Executive Leadership.
  • Prepare correspondence, reports, forms, and other business documents.
  • Assist with filing, scanning, copying, mailing, and document management.
  • Maintain office records and administrative files with accuracy and confidentiality.
  • Support company meetings, events, and special projects as assigned.

Office Coordination

  • Manage incoming and outgoing mail, courier deliveries, and shipping services.
  • Monitor office supply inventory and coordinate replenishment with approved vendors.
  • Assist with conference room scheduling and meeting preparations.
  • Coordinate office refreshments, hospitality needs, and visitor accommodations.

Qualifications

  • High school diploma or equivalent
  • Experience with multi-line phone systems.
  • Exceptional verbal and written communication skills.
  • Professional appearance, demeanor, and interpersonal skills.
  • Strong organizational skills with excellent attention to detail.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Strong customer service orientation with a positive and helpful attitude.
  • Proficiency with Microsoft Office 365, including Outlook, Word, and Excel.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
