Job Title: Marketing-Focused Executive Assistant
Job ID: JENREG1EA
Industry: Dance Studio / Education Services
Location: LATAM or South Africa
Job Status: Part Time - 20 Hours Per Week (Possible to transition to full time)
Work Schedule: Monday to Thursday, 11am to 4pm Central Time
Salary: $10 to $11 per hour
The company is a dance studio serving students who typically enroll on an annual basis across multiple class offerings. It operates as an evening-driven business, delivering instruction and programming during peak after-school and evening hours, and manages enrollment, billing, and student communications alongside its instructional operations. Leadership requires a dedicated resource to own digital marketing execution and provide general executive support so that growth initiatives move forward consistently rather than intermittently.
πΌ About the RoleThis role exists to support the studio owner with enrollment growth and daily administrative operations. The ideal candidate will act as a primary driver of marketing campaigns, lead management, and digital presence, while also serving as a key operational assistant. You will take ownership of campaign execution, lead nurture pipelines, video editing, routine billing, and system optimization to allow the owner to focus on teacher training, student retention, and strategic growth.
(Note: This is initially a 20-hour per week part-time position with strong potential to transition into a full-time role after the studio completes a building refinancing by the end of the year.)
π― Key Responsibilitiesπ 1. Marketing Campaign Execution & Creative Content (Top Priority)
Plan, execute, and monitor email marketing, Instagram posts/reels, and Meta (Facebook) advertising campaigns designed to drive student enrollments.
Send hyper-targeted promotional emails and communications based on student age, class relevance, and database lists (e.g., skill classes for ages 10β18).
Design professional, polished graphics and flyers in Canva for studio display, social media, and promo launches without relying on artificial-looking AI imagery.
Edit raw footage uploaded to Google Drive into engaging 30-second video clips and promotional reels for social media posts and ad campaigns.
π 2. Lead Nurture & GoHighLevel Management
Actively manage and maintain GoHighLevel funnels, forms, automated workflows, and Smart Lists.
Monitor inbound lead flows, follow established scripts, and manage follow-ups so no potential student leads fall through the cracks.
Proactively investigate and resolve automation errors, broken workflow triggers, or duplicate communication issues independently (utilizing AI tools or support chats).
βοΈ 3. Executive Administration & Operational Support
Perform routine class and event billing using Jackrabbit (e.g., billing competition dance teams based on daily rehearsal schedules).
Manage specialized studio room, teacher, and lesson bookings using Bookio.
Assist with triaging incoming emails in Microsoft Outlook and help organize, structure, and check off backlog tasks in Asana.
Relay key student updates, class schedules, and incoming lead notifications to studio instructors and front-desk staff via Slack.
β Core Requirements:
GoHighLevel Experience: Direct, hands-on experience using GoHighLevel for email/SMS sequences, pipelines, forms, and lead management is strictly required.
Digital Marketing & Design Skills: Proven proficiency in Meta Ads Manager, Canva, Instagram reel/post creation, and basic video editing.
Attention to Detail with Numbers: Precision and accuracy in handling variable billing structures across multiple team categories and rehearsal counts.
Proactive Problem Solver: Takes the initiative to solve technical bottlenecks using AI tools (ChatGPT, Claude), online guides, or support channels rather than waiting for direction.
Fluent English Communication: Excellent written and spoken English for professional customer-facing messaging and staff coordination.
Schedule Availability: Ability to work 20 hours per week (MondayβThursday) with mandatory overlap during daytime hours (11:00 AM β 4:00 PM US CT) prior to evening studio classes.
