Job Description
General Purpose:
The Volunteer Engagement Coordinator provides administrative, relational, and operational support for organization wide volunteer engagement and assimilation systems. This role helps ensure that volunteers and ministry leaders receive timely communication, clear next steps, proper onboarding, and ongoing support.
The Coordinator helps create a consistent pathway for individuals to move from initial interest to active, equipped, and engaged ministry partner.
Essential Job Functions:
Volunteer Engagement Administration
- Coordinate background checks, forms, references, and required documentation.
- Assist with volunteer scheduling and communication.
- Track volunteer onboarding, training, and serving milestones.
- Monitor volunteer follow-up and identify individuals needing additional contact.
- Coordinate weekend ministries that fit under the Guest Experiences oversight
- Manage scheduling rotations for ministry partners to ensure that teams are fully scheduled at all campus locations
- Provide leadership during weekends to ensure teams are operating effectively and with excellence
- Work closely with Director of Assimilation and Volunteer Engagement in identifying challenges, problem solving, and vision casting opportunities for growth and development across all teams
- Manage weekend point persons and ensure they are fully equipped to lead the teams they oversee
- Ensure that ministry partners are active within their Guest Experience ministry, and follow up with them as needed.
- Support first-time guest follow-up processes.
- Assist with Next Steps communications and tracking.
- Assist in logistics for Discover Calvary, the “Next Steps” areas, and other connection experiences.
- Maintain records of guest participation and next-step engagement.
- Help ensure communication is timely, clear, relational, and consistent.
- Provide ministry leaders with access to volunteer tools, templates, and resources.
- Assist with communication regarding volunteer needs, training, and expectations.
- Help leaders navigate volunteer engagement systems and processes.
- Support the collection of ministry-specific volunteer needs and updates.
- Identify recurring issues and communicate opportunities for improvement to the Director.
- Assist Director with the development, implementation, and execution of workshops, appreciation events, and training for staff and volunteers.
- Enter, clean, and maintain volunteer and guest data.
- Update recurring reports and dashboards.
- Assist in identifying gaps in follow-up, onboarding, or engagement.
- Assist with evaluating processes and recommending improvements.
Perform all other duties as assigned.
Requirements:Qualifications:
- Mature follower of Jesus Christ with a heart for serving others.
- Experience in ministry support, outreach, or nonprofit service coordination.
- Possess a “whatever it takes” attitude and strong work ethic.
- Willingness to be flexible with shifting deadlines and sudden projects as needed.
- Willingness to shift normal work schedule on occasion when needed.
- Clear communication, strong organization, and interpersonal leadership.
- Proficiency with PCO and workflows. Knowledge of volunteer legal guidelines, liability, and background check regulations.

- This role requires presence during weekend services, Discover Calvary Nights, office hours, and special events.
