PURPOSE
Provide support and assistance to the paralegals and the manager with day-to-day administrative tasks.
ESSENTIAL JOB FUNCTIONS AND DUTIES
- Identifies information from contracts and enters in the contracts database
- Prepares summary of contracts (extract) for paralegal review
- Produces general correspondence for the contracts group
- Runs and prepares reports from the database and formats data as requested
- Files, scans, copies, faxes, mails, or otherwise distributes documents for use by contract parties and/or Fund departments. Updates employer files accordingly
- Prepares, scans and indexes documents into the Document Management System
- Drafts variance request memos and sends to Trustees. Follows up on Trustee ballots as requested
- Assists in preparation of Trustee reports, including comparing and analyzing reports, identifying discrepancies, researching of issues, data entry, copying, collating
- Monitors contracts database by running reports to identify various processes that need to be completed
- Sets goals and achieve measurable results
- Contributes ideas to plans and achieving department goals

ESSENTIAL QUALIFICATIONS
Years of Experience and Knowledge
- 1 ~ 2 years of related experience minimum
- Working knowledge and experience in administrative tasks
Education, Licenses, and Certifications
- Associate's degree or equivalent work experience required
Skills and Abilities
- Intermediate level Microsoft Office skills (PowerPoint, Word, Outlook, OneNote)
- Intermediate level Microsoft Excel skills
- Basic math skills
- Time management and organizational skills
- Communication skills (verbal and written)
- Detail oriented and multi-tasking skills
- Ability to effectively interact with all levels of employees and management
- Manage competing deadlines and multiple projects
Salary range for this position: Salary $39,700 to $44,200. Actual base salary may vary based upon, but not limited to: relevant experience, qualifications, expertise, certifications, licenses, education or equivalent work experience, time in role, peer and market data, prior performance, business sector, and geographic location.
Work Schedule (may vary to meet business needs): Monday ~ Friday, 7.5 hours per day (37.5 hours per week) with potential for hybrid work-from-home arrangement.
