This role is a key operational position within a luxury hospitality environment, focused on ensuring seamless guest stays through precise room allocation and reservation coordination. You will oversee daily room blocking, inventory accuracy, and arrival preparation to optimize occupancy and elevate guest satisfaction. The position requires strong cross-department collaboration, acting as a central link between Reservations, Front Desk, and other hotel functions. You will play an essential role in managing room strategy, handling special requests, and ensuring operational readiness across systems and guest profiles. Working in a fast-paced, guest-focused setting, you will help deliver a high-end experience consistent with luxury brand standards. This is a hands-on leadership role combining operational precision, customer service excellence, and real-time problem solving in a dynamic resort environment.

Accountabilities

This role is responsible for overseeing room control operations, ensuring accurate inventory management, and coordinating guest arrival experiences to maximize satisfaction and operational efficiency.

  • Oversee daily room blocking and assignment processes to ensure optimal occupancy, guest satisfaction, and upgrade opportunities.
  • Maintain accurate room inventory and reservation data across systems such as MARSHA and Lightspeed.
  • Serve as a liaison between Reservations, Front Desk, and other hotel departments to ensure smooth operational coordination.
  • Conduct arrival audits, reservation reviews, and inventory balancing to ensure accuracy and readiness.
  • Manage suite, residence, and standard room allocations in alignment with occupancy strategies.
  • Handle VIP arrivals, guest preferences, loyalty requests, and special accommodations through GXP and related systems.
  • Monitor and adjust selling strategies while communicating updates and operational needs to front office teams.
  • Support guest inquiries, special requests, and reservation-related issues with a service-oriented approach.
  • Participate in daily operational briefings and communicate high-priority arrivals and opportunities.
  • Ensure readiness for system downtime scenarios and maintain continuity of operations.
Requirements

This role requires strong hospitality operations experience, excellent organizational ability, and the capacity to manage real-time room control functions in a high-volume luxury hotel environment.

  • 1+ year of customer service or hospitality experience (hotel front desk or reservations experience preferred).
  • Strong understanding of hotel operations, room categories, rates, and occupancy management.
  • Familiarity with hospitality systems such as MARSHA, Lightspeed, Outlook, or GXP (preferred).
  • Excellent organizational and multitasking skills with the ability to perform under pressure.
  • Strong numerical, analytical, and problem-solving abilities.
  • Excellent verbal and written communication skills in English.
  • Ability to build strong relationships with guests, colleagues, and cross-functional teams.
  • Proficiency in Microsoft Office applications, especially Excel and Word.
  • Availability to work flexible schedules, including weekends and holidays.
  • Bilingual abilities (e.g., Spanish or other languages) are a plus.
