About the Role

At Fiesta Health, we believe every family deserves an incredible first experience from the moment they reach out for help. As our Client Onboarding Specialist, you'll be the friendly, dependable voice families hear from the moment they're referred to us through the moment they're enrolled and receiving services. You'll guide them step by step — answering questions, gathering information, coordinating appointments, and clearing away any obstacles — so that starting care feels simple instead of stressful. This is a phone-first role: you'll spend the majority of your day on calls with families, building trust and momentum at every stage of their journey. You'll also help us build the systems, checklists, and playbooks that make onboarding faster and easier as our team grows.
What You'll Do:
  • Serve as the primary point of contact for families from the moment a referral is received, guiding them by phone through every step of the onboarding journey.
  • Conduct proactive outreach and follow-up calls to collect the information and documentation needed to move each family's case forward (contact details, insurance information, required forms and records).
  • Help families understand and complete insurance verification, authorization, and documentation requirements, keeping them informed and reassured at every step.
  • Schedule and confirm appointments, send timely reminders, and reschedule as needed so families never fall through the cracks.
  • Identify and resolve barriers that could delay a family from starting services — such as insurance/payor transitions, transportation challenges, or missing paperwork — using creativity and sound judgment to find solutions.
  • Keep accurate, up-to-date records of every family interaction in company systems.
  • Help build and document repeatable outreach and onboarding processes, and contribute to training and growing the onboarding team over time.
What We're Looking For:
  • Fluent in English and Spanish (written and verbal) — required.
  • Experience in a phone-based outreach, intake, scheduling, or client/patient onboarding role, ideally within healthcare or a service-based industry.
  • Comfortable spending the majority of the workday on the phone with clients or families.
  • A natural problem-solver with strong judgment and the ability to think creatively to remove obstacles.
  • Excellent verbal and written communication skills, with a warm, empathetic, family-first approach.
  • Strong organizational skills and the ability to manage a high volume of outreach and follow-ups at once.
  • Familiarity with health insurance or authorization processes is a plus.
  • Reliable high-speed internet and a quiet, professional home office setup.

Compensation and Benefits:
  • USD $1,000/month during the 3-month trial period, increasing to USD $1,500/month upon successful completion.
  • Performance bonus eligibility, paid quarterly, based on team and individual goals.
  • 10 days of paid time off (PTO).
Growth Opportunities:
This role is expected to grow. As you help build scalable onboarding systems, you'll have the opportunity to help hire, train, and lead a small onboarding team over time.
