Job Description
Position Description: Who We Are
Hispanic Federation (HF) is the nation's premier Latino nonprofit membership organization. Founded in 1990, HF supports Hispanic families and strengthens Latino institutions through grantmaking and direct services in the areas of education, health, immigration, civic engagement, economic empowerment, and the environment. Values that drive our work include equality, fairness, diversity, and empathy.
Who We Seek
Hispanic Federation seeks a Grants Accountant to serve as the primary Finance partner for program staff across an assigned portfolio of government and private grants and contracts. The role leads grant budgeting and financial monitoring, prepares and reviews accounting entries, reviews salary and fringe allocations, and ensures that grant-related financial activity is accurate, timely, and supported.
The successful candidate combines strong accounting judgment with the ability to interpret award requirements, analyze complex financial data, identify compliance or reporting risks, and communicate practical corrective actions. The Grants Accountant works closely with program staff, reviews work prepared by the Junior Grants Accountant, and supports the Vice President for Finance and Administration with portfolio analysis, financial reporting, close activities, and audit readiness.
Reports to: Vice President for Finance and Administration
Position location: This position is based in HF's New York City headquarters and follows HF's hybrid work schedule, with staff working from the office approximately 50% of the time.
Essential Functions
- Serve as the primary Finance contact for program staff across an assigned grant portfolio, providing timely guidance on budgets, spending, coding, reporting requirements, and grant-related financial decisions.
- Develop and maintain grant budgets, proposal budgets, forecasts, and budget modifications in collaboration with program staff and the Development team.
- Meet regularly with program staff to review budget-to-actual results, spending plans, remaining balances, reporting deadlines, and required corrective actions.
- Prepare grant-related journal entries, including revenue recognition, accruals, reclassifications, indirect cost allocations, and other adjusting entries; maintain complete supporting schedules.
- Review employee salary, fringe, and shared-cost allocations for reasonableness, consistency with time and effort records, budget availability, award period, and applicable funding requirements.
- Reconcile assigned grant activity to the general ledger and supporting records; analyze revenue, receivables, deferred revenue, cash activity, and remaining balances; investigate and correct differences.
- Review draft funder invoices, vouchers, drawdown requests, fiscal reports, and supporting schedules prepared by the Junior Grants Accountant; ensure accuracy, completeness, and compliance before submission.
- Review the Junior Grants Accountant's documentation pulls, trackers, reconciliations, and initial review of subrecipient financial reports; provide direction, feedback, and final accounting review.
- Evaluate grant costs and salary allocations for allowability, allocability, reasonableness, period of performance, budget availability, and documentation in accordance with award terms, HF policies, and applicable regulations, including Uniform Guidance for federal awards.
- Apply approved indirect cost rates and monitor cost share, matching requirements, program income, carryover, and other award-specific financial requirements.
- Provide the Vice President for Finance and Administration with concise portfolio analyses, variance explanations, compliance observations, recommended actions, and schedules needed for management reporting.
- Support month-end and year-end close, the annual financial statement audit, Single Audit, funder monitoring, and grant closeouts by preparing workpapers and reviewing supporting documentation.
- Maintain audit-ready records and recommend improvements to grant accounting procedures, internal controls, templates, and data quality.
- Remain current on relevant accounting standards, award requirements, and grant-compliance guidance.
- Perform other duties as assigned.
Education and Experience
- Bachelor's degree in accounting, finance, business administration, nonprofit financial management, or a related field.
- At least three years of progressively responsible accounting experience, including at least two years involving nonprofit grants, contracts, or restricted funds.
- Experience with nonprofit fund accounting software is required; experience with MIP Fund Accounting or a comparable enterprise system is preferred.
- Advanced proficiency with Microsoft Excel, including formulas, lookups, pivot tables, reconciliations, and analysis of large data sets.
- Working familiarity with New York State grants and contracts, including budget, documentation, vouchering, and fiscal reporting requirements, is required.
- Experience with New York City or federal funding is strongly preferred.
- Professional proficiency in Spanish is an asset.
Required Knowledge, Skills, and Abilities

Skills
- Strong financial analysis and critical-thinking skills, including the ability to examine records, reconcile differences, evaluate supporting documentation, and identify the cause of discrepancies.
- Skill in developing and monitoring budgets, forecasting results, and explaining financial and operational variances.
- Strong reading comprehension and research skills for interpreting award agreements, policies, regulations, and reporting instructions.
- Clear written and verbal communication skills, including the ability to explain financial requirements to colleagues and external partners.
- Strong judgment, problem-solving, time-management, and coordination skills in a deadline-driven environment.
