Job Description
Job Summary
Performs secretarial and routine administrative duties. Prioritizes assignments and organizes functions to insure effective office operations. Performs related work as required. Utilizes effective interpersonal skills to communicate and collaborate effectively with staff. Schedules SDS procedures and endoscopy.
Essential Functions
- Responsible for scheduling procedures in the operating room and endoscopy suite
- Communicates effectively with surgeons offices for block dates, scheduling and patient related concerns
- Creates and maintains transportation schedules and communicates with 3rd party company
- Creates patient charts with appropriate documents and medical records
- Verifies patient arrival times and communicates with registration on the day of procedure
- Labels patients charts appropriately
- Communicates with anesthesia, nursing team and surgeons on patient arrivals and any delays
- Communicates with house APC on in patient add-on surgeries and verifies optimization has been obtained
- Responsible for typing all unit /department meeting minutes and confidential correspondence.
- Completes work in an accurate, efficient and timely manner as observed by supervisor/ manager.
- Maintains neat and orderly necessary files. Pickup and distributes mail accordingly when needed.
- Performs other related office duties, as requested by office manager.
- Ability to operate automated office equipment, software and utilize PC based software for office applications, and utilize current unit-based computer at optimal level
- Integrates the standards of excellence into daily practice.

Minimum Education/Certifications
High School Graduation or equivalent and completion of a business school course. One year of secretarial experience. Bilingual preferred
Physical Requirements:
Routine office tasks involving occasional stooping or bending to access files or shelves. Ability to maintain a stationary position for extended time periods.
Independent Judgment
- Must be able to communicate information quickly and efficiently.
- Must be able to manage multiple tasks simultaneously.
- Must be able to work under constant pressure independently.
Equipment Operation
Operates computer, scanner, typewriter, fax machine, copiers and dictation equipment
Working Conditions
Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required
Requires working under stressful condition and flexible hours. Involves some discretion independent action and judgment to decide what to do.
