About This Position

Position Summary

The Billing Specialist reports directly to the Fuel Billing and Inventory Manager and is responsible for

accurately providing full-cycle invoicing in a timely manner. This role involves managing the invoicing processes from start to finish, ensuring all deadlines are met, and providing clear and effective responses to client billing inquiries. Additionally, the Billing Specialist is expected to analyze invoices to identify discrepancies and ensure billing accuracy. This position requires a high level of attention to detail, strong analytical thinking, and the ability to work efficiently within tight deadlines.

Primary Duties and Responsibilities

  • Process billing batches daily to create invoices for fuel deliveries made the previous day
  • Review billing batches for errors (pricing, quantity, product type and cost) and resolve billing issues on a proactive basis to ensure accuracy of customer invoices
  • Issue any credits and rebills as directed
  • Maintain and update customer account records to ensure accurate invoice delivery, whether by manual or electronic means, per customer preferences
  • Assist the Credit department as needed on issues relating to billing inquiries
  • Support additional billing functions, tax-related tasks, and special projects as assigned


Education and Experience:

  • Associate’s Degree or higher education level in Accounting, Business, or a related field
  • Strong written and verbal communication skills and the ability to work across departments and directly with customers
  • Proficiency in Microsoft Office Suite (Excel, Word & Outlook)
  • Demonstrated strong work ethic, with the ability to work independently as well as part of a team
  • Able to meet strict deadlines and maintain a high quality of work
  • Excellent attention to detail

Physical Requirements and responsibilities

  • Able to lift 25 lbs
  • Able to bend, stand, walk, sit
  • Dexterity of hands and fingers to operate a computer including keyboard, mouse, and other office equipment

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment
This job operates in a professional office environment. This role routinely involves use of standard office equipment such as computers, phones, photocopiers, and filing cabinets.
