About This Position
Position Description: Responsible for providing office and clerical support for the Workforce Training & Economic Development unit of the Workforce Training & Community Education Division. Position Responsibilities: 35.00% - Serve as office receptionist; provide front-line customer service to students, Barton employees, clients, partners, and visitors. Answer phones, take messages, return messages when appropriate, and sort and distribute mail.
25.00% - Provide confidential secretarial support for the Executive Director of Workforce Training and Economic Development. Tasks included, but not limited to preparing and typing various correspondence, minutes, documents and forms; assistance with grant reporting; preparing requisitions, course scheduling, enrollment, and advisory board preparations.
25.00% - Provide clerical support for faculty, i.e. preparation of instructional materials, correspondence, student appointments, schedule meetings, phone messages, class scheduling, order textbook materials, assist with student activities, and maintain office supplies.
5.00% - Assist in the collection of information for KBOR/Perkins reports, send follow-up letters to student program completers and perform other duties related to the collection of information for KBOR/Perkins reports.
5.00% - Coordinate the Executive Director's calendar and schedule meetings, interviews, luncheons and/or other events as requested.
5.00% - Performs other duties as needed or assigned.
Expectations: 1. Provide a friendly, customer service oriented atmosphere for students, staff, internal and external partners and customer.
2. Maintain confidentiality.
3. Ability to manage multiple projects and deadlines.
Knowledge, Skills and Abilities: Experience - Six months to two years of similar or related experience.
Education - A high school education or GED.
Interpersonal Skills - Courtesy, tact, and diplomacy are essential elements of the job. Work involves much personal contact with others inside and/or outside the college, generally regarding routine matters for purposes of giving or obtaining information which may require some discussion.
Other Skills - Functional computer skills - Internet research, calendar management, word processing, spreadsheet application and database management.
Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to perform the work.
Regular exposure to favorable conditions such as those found in a normal office or classroom.
Wages/Other:
