About This Position

Position: RECEPTIONIST Department: ADMINISTRATION

EDUCATIONAL AND TECHNICAL QUALIFICATIONS: The individual that fills this position must have a minimum of a high school diploma or GED, skills in typing with word processing experience, light bookkeeping, good interpersonal skills, an ability to follow verbal and written instruction, an ability to establish priorities, be able to maintain a professional attitude and posture, and shall be CPR and First Aid certified.

PERSONAL QUALIFICATIONS: Must possess good physical and mental health, a pleasant, friendly, and patient attitude, and a sincere desire to work with seniors.

AUTHORITY AND ACCOUNTABILITY: Under the direct authority of and accountable to the Front Desk Supervisor.

PROPER ATTIRE: The established dress code is business attire of suits, slacks, dress shirt, with or without tie (males), skirts, sweaters, blouses, pants suits (females), and a name badge. Must be well groomed, tidy, and professional in appearance at all times in accordance with the established dress code policy.

POSITION SUMMARY: This is a day/swing/noc shift, seven days per week, Monday through Sunday. The responsibility requires two part-time or one full-time and one part-time staff member. The individuals filling this position shall serve as receptionist to the facility and primary administrative and clerical support person for the Executive Director and Department Heads and shall respond to the resident emergencies within the independent section of the facility.

SPECIFIC RESPONSIBILITIES:

Read, understand, and abide by the position description, positional and general orientations, Statement of Service Standards, and corporate and facility policies and procedures.

  1. Have a basic knowledge of and comply with the facility’s general and departmental safety rules.
  1. Understand basic fire and safety rules and regulations and have knowledge of the employee’s area of responsibility in responding to emergencies and fire drills.
  2. Comprehend and adhere to all OSHA rules and regulations. Understand and have a basic knowledge of the MSDS material.
  1. Arrive on time prepared to accomplish positional established duties.
  1. Greet visitors, residents, and family members warmly and efficiently.
  2. Assist the residents and guests with respect and dignity.
  1. Answer all incoming and internal telephone calls in a professional, pleasant manner per the established corporate and facility policies.
  2. Assist the Activities Department in coordination of scheduled transportation of residents to doctor appointments, shopping, banking, and other activities.

10. In the absence of Marketing Department personnel, answer inquiry questions with efficient and accurate information.

  1. Provide informative, professional, and effective tours obtaining necessary prospect information.
  1. Maintain the master forms on Company Intranet.
  1. Maintain the Front Desk Manual. Complete filing requirements as needed.
  2. Collect money and write receipts for rent, dining room meals, stamps, and all other ancillaries.
  3. Balance all money and charges daily and complete the sales envelope on all money collected.
  1. Handle correspondence and typing and serve as clerical support for administration and the department heads as assigned.
  2. Perform specific assignments as requested by the supervisor, such as ordering supplies, assisting with accounts payable, accounts receivable, payroll, maintenance of resident and employee files, forms maintenance, and organization of the work room, copy room, and storage room. Prepare bank deposits.
  1. Keep the work area clean and tidy at all times.
  2. Respond to resident emergency calls as needed.
  1. Record all pertinent information daily in the 24-hour report log while communicating directly with supervisor.
  1. Assist the Marketing Department with routine weekly, monthly, and bulk mailings, as assigned.
  2. Assemble weekly mailings of reports and documents as required.
  1. Attend all departmental, facility, and other meetings and in-services, as required by the departmental supervisor.
  2. Meet all new residents within your scope of service and assist them in their move-in and orientation process.
  1. Maintain a friendly and warm resident relationship within the “family” spirit of the facility.
  1. Type all menus, both seasonal and daily specials, as requested by the Executive Director. Complete all other assigned duties as requested or required by management.
