About This Position
Job Summary
The Client Relations Project Coordinator is responsible for managing and coordinating client-related projects and processes end-to-end, ensuring timely execution, clear communication, and a high level of service. This role serves as the central point of contact across internal teams to deliver on client expectations and support operational workflows.
Duties / Responsibilities- Coordinate client orders, including intake, scheduling, status tracking, and delivery follow-up.
- Serve as a liaison between clients and internal departments (e.g., Veterinary, Processing, Lab, BCM) to ensure alignment and execution of requirements.
- Maintain and update project timelines, client orders, and animal health records in the animal management system.
- Generate, route, and track processing forms for the Processing Department (orders and on-site processes).
- Enter and reconcile processed data, daily treatments, medical records, and colony census records accurately and on time.
- Proactively identify and escalate complex or exceptional client issues, especially veterinary-related—in collaboration with the Client Services Director and Veterinary Director.
- Prepare and organize documentation for invoicing and internal reporting.
- Provide regular project status updates to stakeholders, highlighting risks, delays, and mitigation plans.
- Assist in the planning and execution of special projects and process improvements.
- Facilitate post-delivery client feedback loops to inform continuous improvement.
- Perform other duties as assigned to support client satisfaction and operational efficiency.

Education and Experience- Required: Associate’s degree or higher in Business, Project Management, Communications, Life Sciences, or a related field.
- Preferred: Bachelor’s degree.
- Minimum of 3 years’ experience in client services, project coordination, or operations support—experience within a primate facility or life sciences environment is a strong plus.
- Strong project coordination and multi-tasking skills; able to manage concurrent client deliverables.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office Suite and comfortable with database/management systems.
- Detail-oriented with strong organizational and time management ability; proven track record of meeting deadlines.
- Collaborative mindset; able to work cross-functionally and build trust with internal and external partners.
- Problem-solving orientation, with ability to anticipate issues and drive resolution.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds occasionally.
