Reservation & Sales Coordinator

SUPERVISED BY:

Revenue Manager/ Sr. Sales Manager

SUPERVISES:

No supervisory responsibilities.

The Reservation & Sales Coordinator will support for the Reservation and Sales Department. This position will be responsible for providing guests, fellow team members and vendors with superior customer service, administrative support to respective departments and will source creative and strategic ideas as needed. The position will spend approximately 50% supporting the Reservations team and 50% supporting the Sales Department.

ESSENTIAL DUTIES:

  • Checking extranets for Expedia, booking.com, Agoda and FITS for Shore, Ocean View Hotel and Santa Monica Motel.
  • Monitor and respond to emails from Shore Hotel and Ocean View Hotel general and sales email box.
  • Assist with creating and inputting group and production room lists.
  • Reconcile Expedia reservations for Shore Hotel and Ocean View Hotel.
  • Audit rates on OTA sites to check or parity.
  • Check for Package bookings.
  • Upload Guestbook folios for Shore Hotel and Ocean View Hotel.
  • Check for no show from night prior and verify if reservation was a live booking and reconcile if needed.
  • Check Facebook/IG/Twitter and respond or send to the appropriate department.
  • Work with Sr. Sales Manager on Social Media posts for Shore Hotel.
  • Compile and maintain current client mailing list and contact details in Sales operating system.
  • Organize promotional activities for new products/services/marketing campaigns. Assist in the preparation and organizing of promotional material or events.
  • Generate and distribute various sales reports and statistical analysis as requested.
  • Conduct tours of the hotel and facilities when required.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

EXPERIENCE:

  • At least 1-2 years of progressive experience in customer service in Guest Services/Sales
  • Prior hospitality experience preferred
  • Prior inbound calling experience preferred
  • Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook with ability to type 35 wpm.
  • Must have experience in Opera .
  • Must be flexible schedule and able to work days, evenings, weekends, and holidays.

EDUCATION:

  • Associate degree in business, management, or hospitality or related field or equivalent of 3 years relevant work experience required

WORKING CONDITIONS & PHYSICAL WORK DEMANDS:

  • Able to sit and work at a computer keyboard for extended periods of time.
  • Able to stoop, kneel, bend at the waist and reach on a daily basis.
  • Able to lift and move up to 20 pounds occasionally.
  • Regular and on-time attendance is critical.
  • Hours occasionally exceed 40 hours per week.
  • Ability to stand during shifts
