JOB SUMMARY

The Executive Assistant provides professional administrative support to the CEO and the Director of Philanthropy. As directed by the CEO may provide professional administrative support to any member of the Executive Team. This position will lead the execution of the organization’s development plan for fundraising events. The Executive Assistant must be enthusiastic and take responsibility for creating awareness of KCSL, recruiting volunteers for the Topeka community council, and creating awareness and funding opportunities through new small events and existing KCSL events.

ESSENTIAL JOB FUNCTIONS

  • Professional Administrative Support
    • Manages executive calendars, travel, email, and communication priorities for CEO and CFO

    • Prepares materials and logistics for meetings, including agendas, handouts, and minutes

    • Coordinates filing, mail handling, and maintains the Administrative Policy Manual

  • Board Support

    • Prepares and distributes agendas, minutes, and materials for Board/Foundation and committee meetings

    • Coordinates logistics for meetings and events, including strategic planning and annual retreat

    • Maintains permanent records, Board directories, and orientation manuals

  • Philantropy Team Support

    • Supports the Fund Development and Philanthropy teams by preparing agendas, attending meetings, recording minutes, and coordinating follow‑up tasks.

    • Manages donor CRM data and prepares accurate monthly and quarterly financial and activity reports in collaboration with Finance and organizational leadership.

    • Represents KCSL in the community by attending events and delivering presentations as directed by leadership.

  • Event Planning

    • Plans, organizes, and manages annual fundraising and special events, including volunteer coordination, sponsor growth, and execution of board‑identified activities

    • Increases community awareness of KCSL by participating in local activities and cultivating visibility for the organization’s mission and impact.

EDUCATION AND EXPERIENCE

Required

  • Associates Degree in business, marketing or related field.
  • At least 3 years of experience providing executive level administrative support.
  • Demonstrated ability working effectively with volunteers, donors, clients, and managers.
  • Demonstrated ability communicating successfully in writing and verbally.
  • Proficiency in Word, Excel, PowerPoint, and Outlook.
