About This Position

Position Overview: At BCAT, data is a tool for storytelling, strategy, and equity. The Data Coordinator plays a vital cross-functional role in strengthening BCAT’s data infrastructure and bringing our mission to life through accessible, actionable visuals and upholding brand consistency. This position supports organization-wide data systems, with a particular focus on Salesforce administration, reporting for key funders and partners, and the development of digital visuals that communicate outcomes, trends, and impact. The Coordinator will work closely with multiple departments to ensure the organization’s data is not only accurate and well-managed, but also clearly understood and meaningfully used.

This role is ideal for someone who enjoys building systems, translating complex information, and partnering with colleagues to promote data-informed decision-making. It requires strong technical capacity, creative problem-solving, and a commitment to continuous improvement, even in environments where structures are still evolving. While this position does not supervise BCAT staff, it is highly collaborative and offers significant influence on BCAT’s data culture and storytelling strategy. This position may at times supervise interns or outside consultants.

Key Responsibilities:

Data Reporting: Reporting responsibilities will include both scheduled and ad hoc requests from leadership, program staff, and the advancement team. The Coordinator will work closely with colleagues across departments to understand what questions the data needs to answer and will deliver reports that are timely, relevant, and easy to interpret. This includes compiling, cleaning, and analyzing data from multiple sources; creating user-friendly reports and dashboards; and contributing to the documentation of data definitions, metrics, and reporting cycles. The Coordinator will also support the preparation of funder reports and board presentations, helping to ensure BCAT’s outcomes are backed by accurate and compelling data. In all cases, the Coordinator will approach reporting with a service mindset—aiming to equip decision-makers with the information they need to lead with clarity and confidence.

Managing Data Systems: The Coordinator will support the development, maintenance, and continuous improvement of BCAT’s organization-wide data infrastructure (Salesforce CRM). This includes ensuring data integrity, streamlining system workflows, and supporting staff in maintaining consistent data entry and usage. The Coordinator will help implement tools that make it easier for departments to collect and track relevant metrics, while reducing redundancy and user frustration. In addition to day-to-day database management, the role will involve troubleshooting issues, supporting light user training, and helping to shape data collection protocols that reflect both internal needs and external reporting requirements.

Organizational Participation & Support: In addition to their primary responsibilities, all BCAT team members contribute to the broader success of the organization by participating in key events and shared responsibilities. This includes supporting student showcases, program graduations, open houses, community outreach efforts, and other mission-driven activities that strengthen visibility and engagement. Team members may also be asked to assist with cross-departmental projects, contribute to organizational initiatives, and provide occasional coverage or support in response to evolving operational, student or program needs. This collaborative spirit ensures that BCAT remains a responsive, inclusive, and united workplace.

Skills and Qualifications:
Bachelor’s degree in Data Science, Business Analytics, or related field or equivalent experience in data coordination, CRM management, or business analysis preferred
High School Diploma and Tech cert, training required.
Experience with Salesforce or other CRM/database platforms
Demonstrated experience designing dashboards, producing evaluation reports, and tracking outcomes
Fluency in Google Workspace (Docs, Sheets, Slides), Microsoft Office Suite (especially Excel/PowerPoint)
Strong attention to detail, organization, and data integrity
Ability to work independently and collaboratively, managing multiple projects with shifting priorities
Excellent communication skills and the ability to convey data to non-technical audiences
Preferred Experience in data visualization tools such as Tableau, Power BI, Canva, or similar platforms
Familiarity with logic models, evaluation plans, and nonprofit reporting structures
Demonstrated ability to navigate ambiguity and build systems in early-stage or fast-paced environments
Commitment to BCAT’s mission and values, including access to education, community impact, and equity

Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
