Brief Job Overview/Summary
The Office of Graduate & Continuing Studies Professional Services Specialist provides essential administrative and operational support to the Office of Graduate & Continuing Studies (OGCS). This role supports the day-to-day functioning of the office, coordination across campus partners, and implementation of graduate level processes and initiatives. The specialist serves as a central point of contact for OGCS, ensuring effective communication, organization, and follow through as the graduate enterprise continues to develop.
Descriptions of Essential Duties/Responsibilities:
Responsibilities and Goals:
Office Operations & Administrative Support:
• Provide administrative support to the Dean of OGCS, including scheduling, meeting coordination, and calendar management
• Manage general OGCS inquiries and route requests to appropriate offices or stakeholders
• Maintain organized records, files, and documentation related to graduate policies, procedures, and initiatives
• Assist with tracking deadlines, deliverables, and follow up items across OGCS projects
Graduate Process & Policy Coordination:
• Support administrative processing related to graduate policies, compliance and approvals
• Assist with coordination of graduate level requests and communications across academic programs and administrative offices
• Maintain standardized templates, forms, and workflow documentation for OGCS processes
Cross-Campus Coordination & Communication:
• Serve as an administrative liaison between OGCS and campus partners (Registrar, Enrollment Management, Financial Aid, Institutional Research, Library)
• Assist with preparation and distribution of graduate related communications, announcements, and materials
• Support coordination of meetings, working groups, and advisory bodies associated with OGCS
Program & Initiative Support:
• Provide logistical and administrative support for OGCS initiatives such as the Graduate Advisory Council, Graduate Student Orientations and Graduate Research Symposium
• Assist with tracking participation, documentation, and outcomes of OGCS sponsored activities
• Support basic reporting and data collection as requested
General Office Support:
• Assist with basic budget tracking, purchasing requests, reimbursement documentation as applicable and budget coordination with the Office of the Provost
• Support onboarding and coordination of graduate assistants, faculty fellows, or temporary staff
• Perform other administrative duties in support of OGCS priorities as assigned
Required Qualifications:

• Bachelor’s degree required
• 2–4 years of administrative or office coordination experience, preferably in higher education
• Strong organizational, communication, and time-management skills
• Ability to manage multiple priorities in a developing office environment
• Demonstrated attention to detail and discretion with sensitive information

• Experience supporting academic or graduate-level offices
• Familiarity with higher education administrative systems and workflows
• Experience working in start-up or growth-oriented environments
