Overview:

A Document Control Specialist manages, organizes, and ensures the accuracy, security, and compliance of the organization’s documents throughout their lifecycle.

Key Responsibilities

  • Document Control Specialists are responsible for overseeing the creation, storage, retrieval, and distribution of documents to ensure accuracy, accessibility, and compliance with company policies and regulatory standards.
  • Managing and maintaining all controlled documents, including revisions and version control.
  • Verifying document accuracy, quality, and compliance with legal, regulatory, and internal standards.
  • Coordinating with various departments to consolidate data and facilitate document workflows.
  • Ensuring the security, confidentiality, and proper distribution of sensitive documents.
  • Assisting with internal and external audits by providing required documentation.
  • Educating and training employees on document control procedures and policies.
  • Using document management software and tools to monitor, track, and control documents.
  • Conducting regular audits of document management practices to maintain compliance.

Required Skills and Qualifications

  • Successful candidates typically possess a combination of technical and soft skills:
  • Proficiency with document management systems.
  • Knowledge of quality management standards (ISO 9001, ISO 13485, GMP) and regulatory compliance.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills for cross-functional collaboration.
  • Ability to handle confidential information with discretion.
  • Familiarity with database management and workflow automation tools.
  • Associate’s or bachelor’s degree in business administration, Information Management, or a related field.

Work Environment and Reporting

Document Control Specialists will work in office settings with some time on the factory floor. The role often involves interaction with multiple departments, including engineering, quality, manufacturing, Human resources and will require strong interpersonal skills.

Additional Considerations

  • The role is critical for maintaining operational accuracy, regulatory readiness, and efficient document workflows.
  • Document Control Specialists differ from Records Managers in that they focus on active document lifecycle management, while Records Managers handle long-term archival and retention policies.
  • Experience in document control, quality management, or ISO auditing is highly desirable, and familiarity with industry-specific documentation standards can be a plus.
  • This position is essential for organizations seeking to maintain accurate, compliant, and accessible documentation, supporting audits, operational efficiency, and cross-department collaboration.

Due to ITAR and / or CUI compliance, this position requires candidates to be a U.S. Citizen, Permanent Resident Alien, or Protected Individual per 8 U.S.C.1324b(a)(3).

Candidates being considered for hire must pass a pre-employment background check.

Compensation and Benefits:

Pay Range: $70,000.00 - $80,000.00 (Pay to be determined by the experience, knowledge, skills, and abilities of the candidate, and alignment with market data)
