About the role

The Scheduling Support Coordinator provides administrative and operational support to both the clinical and infusion scheduling teams within a fast-paced rheumatology practice. This role assists with maintaining efficient scheduling workflows, supporting patient communication, managing scheduling-related administrative tasks, and helping ensure smooth daily operations across the scheduling department.

The ideal candidate is highly organized, detail oriented, customer service driven, and able to effectively manage multiple priorities in a collaborative healthcare environment.

Key Responsibilities

Scheduling Department Support

  • Provide administrative support to both the clinical and infusion scheduling teams.
  • Assist with managing provider schedules, infusion schedules, appointment updates, and scheduling changes.
  • Support daily scheduling workflows to ensure efficient patient access and schedule utilization.
  • Assist with maintaining scheduling waitlists and contacting patients regarding appointment availability.
  • Help monitor provider and infusion schedules for cancellations, reschedules, and scheduling gaps.
  • Assist with schedule optimization efforts to support efficient patient flow and operational productivity.

Patient Service

  • Answer incoming scheduling calls professionally and courteously.
  • Assist patients with appointment confirmations, rescheduling requests, and general scheduling inquiries.
  • Communicate appointment updates and scheduling changes to patients and staff.
  • Provide patients with general appointment instructions and scheduling information.

Administrative

  • Maintain accurate patient demographic and scheduling information within the electronic medical record system.
  • Assist with scanning, uploading, and organizing scheduling-related documentation.
  • Support the scheduling department with data entry and administrative projects as assigned.
  • Monitor scheduling work queues, messages, and task lists.
  • Assist with maintaining scheduling reports and tracking logs as needed.
  • Follow organizational scheduling workflows, policies, and productivity expectations.
  • Follow all OSHA, HIPAA, and SAC privacy and safety standards.

Qualifications

  • High school diploma or equivalent required.
  • Minimum of 2 years of medical scheduling or healthcare administrative experience preferred.
  • Strong communication and customer service skills.
  • Ability to multitask in a fast-paced environment.
  • 1+ year experience in rheumatology, internal medicine, or other specialty practice, preferred.
  • Experience with EMR systems; familiarity with NextGen is a plus.
  • Strong organizational skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to prioritize tasks and adapt to changing schedules.
