Job Description
The Resident Service Coordinator plays a vital role in supporting the daily operations of the Maintenance and Leasing teams by coordinating maintenance services, resident communication, and administrative processes. This position serves as the primary point of contact for maintenance requests, ensuring work orders are accurately documented, scheduled, and completed while providing exceptional customer service to residents.
The Resident Service Coordinator is responsible for coordinating apartment turnovers, maintaining maintenance records, scheduling vendors, supporting compliance initiatives, and serving as a liaison between the Maintenance and Leasing teams. Through organization, attention to detail, and proactive communication, this role helps deliver an outstanding resident experience while supporting the operational success of the community.
Minimum Qualifications:- High school diploma or equivalent.
- One (1) year of general office or administrative experience.
- One (1) year of residential or commercial maintenance experience preferred.
- Basic proficiency in Microsoft Word and Excel.
- Ability to effectively prioritize multiple responsibilities in a fast-paced environment.
- Positive, professional, and customer-focused attitude.
- Strong organizational and administrative skills.
- Excellent verbal and written communication skills.
- Dependable, detail-oriented, and a collaborative team player.
- Ability to build positive relationships with residents, vendors, and team members.
- Working knowledge of property management software (Yardi preferred).
- Basic understanding of residential maintenance operations.
- Knowledge of Fair Housing regulations and OSHA safety practices preferred.
- Ability to operate standard office equipment, including copier, printer, scanner, and fax machine.
- Mathematical Skills: Ability to add, subtract, multiply, and divide using whole numbers, fractions, decimals, and percentages.
- Reasoning Ability: Ability to interpret written and verbal instructions, prioritize work, and solve routine operational challenges.
- Language Skills: Ability to read and interpret policies, safety procedures, and maintenance documentation. Ability to prepare reports, correspondence, and communicate effectively with residents, vendors, and employees.
- Receive and coordinate resident maintenance service requests.
- Answer incoming maintenance and leasing-related phone calls.
- Enter and maintain maintenance requests within the property management system.
- Schedule maintenance appointments with residents and third-party vendors.
- Track service requests and follow up to ensure timely completion.
- Contact residents after service completion to ensure satisfaction.
- Conduct resident service satisfaction surveys.
- Coordinate apartment turnover schedules, including painting, cleaning, flooring replacement, punch work, and vendor scheduling.
- Communicate make-ready schedules with the Property Manager and Maintenance Supervisor.
- Enter market-ready apartments into Yardi.
- Prepare and maintain weekly and monthly maintenance reports.
- Maintain accurate preventative maintenance records.
- Monitor and maintain property keys and key logs in accordance with company policy.
- Oversee mailroom operations and package locker management.
- Support mold awareness and prevention initiatives.
- Assist with OSHA safety compliance and injury prevention programs.
- Ensure compliance with Fair Housing regulations and applicable state laws.
- Serve as the liaison between the Maintenance and Leasing teams to ensure effective communication.
- Plan and coordinate monthly and quarterly resident events.
- Perform general administrative duties to support daily property operations.
- Perform all other duties as assigned by the Property Manager.
- Flexibility in work schedule, including occasional schedule adjustments, may be required to meet business needs.
The Resident Service Coordinator utilizes exceptional organizational, communication, and customer service skills to coordinate maintenance operations and support residents throughout the service process.
