POSITION SUMMARY
Spacesaver Intermountain is seeking a highly organized and customer-focused Service & Warranty Coordinator to support service operations throughout the region. This role coordinates service requests, warranty repairs, preventative maintenance, technician scheduling, material orders, and related project support activities. The ideal candidate is detail-oriented, customer-focused, and able to manage multiple priorities while working closely with customers, vendors, technicians, and internal teams. Travel to customer sites is required to support service, warranty, and installation activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Receive, prioritize, and manage service requests, warranty repairs, and preventative maintenance activities.
2. Coordinate schedules for technicians, subcontractors, and service providers, ensuring timely communication with customers regarding appointments, project updates, and service status.
3. Track service calls and warranty claims from initiation through resolution, maintaining accurate records and documentation.
4. Coordinate with manufacturers, vendors, and internal teams regarding repairs, replacement parts, warranty claims, and service-related issues.
5. Create, process, and maintain purchase orders, service orders, work orders, and related documentation.
6. Coordinate the procurement of materials, equipment, and other project-related requirements.
7. Support the scheduling of deliveries, installations, service visits, and project milestones.
8. Maintain organized service, warranty, and project records, ensuring documentation is accurate, complete, and properly filed.
9. Assist with project coordination activities, including site verification, inventory checks, punch-list completion, and project closeout support.
10. Drive to customer facilities, project sites, and other locations to support service calls, warranty repairs, site inspections, installations, inventory verification, and other field-related activities.
11. Represent Spacesaver Intermountain with professionalism.
12. Build and maintain positive relationships with customers, vendors, subcontractors, and internal stakeholders.
13. Perform other related duties as assigned.
MINIMUM REQUIREMENTS AND QUALIFICATIONS
Required:
• High school diploma required; Bachelor's degree and/or 5+ years of relevant experience preferred.
• Strong organizational, communication, and problem-solving skills.
• Proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong attention to detail and ability to work independently and within a team.
• Valid driver's license and ability to travel locally as needed.
• Ability to pass background screenings required for access to customer facilities and other secure locations.
• Experience in service coordination, warranty administration, project coordination, construction, or related industries preferred.
• Familiarity with purchase orders, work orders, vendor coordination, and service documentation preferred.

PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk, hear, and use hands to operate office equipment, tools, and materials. The employee may frequently bend, reach, stoop, kneel, crouch, climb ladders, and navigate active job sites. This position may require assisting with service calls, installations, inspections, inventory activities, and equipment setup. The employee must occasionally lift and/or move up to 50 pounds and may be required to move heavier materials with assistance. Specific vision abilities required by this position include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
WORK ENVIRONMENT
This position is performed in both a professional office environment and at customer sites, warehouses, construction locations, military installations, and other field environments. While in the office, the work environment is generally quiet. During service calls, site visits, and installation activities, the employee may be exposed to varying weather conditions, moving equipment, construction activities, dust, and moderate to loud noise levels. The use of Personal Protective Equipment (PPE) may be required when visiting customer facilities, project sites, and other field locations.
