Administrative Senior Associate

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Administrative Senior Associate based in United States.

This role is a key operational support position within a fast-paced, highly collaborative engineering and consulting environment. You will work across multiple departments, providing essential administrative and coordination support that enables teams to stay organized, efficient, and aligned with business priorities. The role requires strong adaptability, as priorities can shift quickly in response to project demands and organizational needs. You will contribute to both day-to-day operational activities and broader internal initiatives, ensuring accuracy, timeliness, and consistency in all deliverables. This is a highly dynamic position where attention to detail, communication, and problem-solving are essential. Working in a fully remote setup, you will interact closely with directors, operations teams, and cross-functional stakeholders. Your work will directly support internal efficiency, communication flow, and overall organizational effectiveness.

Accountabilities:
  • Provide broad administrative and operational support across departments, including document preparation, proofreading, data entry, and reporting
  • Maintain and update internal files, templates, resumes, specifications, and documentation systems to ensure accuracy and standardization
  • Support proposal development, internal presentations, and company-wide meetings including scheduling, coordination, and content preparation
  • Manage shared inboxes and communication channels, triaging requests and directing them to appropriate teams or stakeholders
  • Assist with onboarding and training coordination, including scheduling sessions and tracking participation
  • Support logistics for internal programs, including swag distribution, employee gifting, and vendor coordination
  • Assist directors with travel arrangements, event registrations, calendar management, expense tracking, and special projects
  • Track policy updates, document requests, and internal process changes to ensure timely completion and compliance
  • Contribute to the preparation of reports, presentations, and internal communications across multiple stakeholders
  • Ensure all tasks are completed accurately, efficiently, and within established deadlines
Requirements:
  • Minimum of 5 years of experience in an administrative, operations, or professional office support role
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams, SharePoint) and document management tools
  • Experience handling scheduling, travel coordination, and administrative logistics in a professional environment
  • Excellent organizational skills with the ability to manage multiple priorities and shifting deadlines
  • Strong written and verbal communication skills across both technical and non-technical audiences
  • High attention to detail with strong proofreading, data accuracy, and documentation skills
  • Ability to work independently in a remote environment while staying proactive and self-motivated
  • Comfortable working under pressure in a fast-paced environment with changing priorities
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Familiarity with AI tools and modern digital productivity platforms is a plus
