Job Description
Lead Representative
To perform routine and specialized clerical duties requiring understanding of medical and radiology terminology in the production and maintenance of imaging records, while providing oversight of clerical operations to ensure efficient workflow, accurate documentation, and effective communication within the Radiology department.
RESPONSIBILITIES
- Greets outpatients upon arrival and informs proper staff of their arrival. Answers incoming calls, takes and relates messages to available personnel using proper phone technique.
- Clerical duties including proper paper processing of Diagnostic Imaging requests. Ensure that all related records throughout the Hospital are available upon request by physicians and/or patients.
- Records and logs films/cd's to be released and films/cd's coming into the department from other locations. Prepares dvd's to be released and or imports incoming dvd's from other locations.
- Proficient in equipment operation (i.e. telephones, terminals, fax machines, digital access system).
- Obtains comparison films/cd's on patients as requested. Digitizes films or imports cds for physician's review.
- Performs other clerical reception duties as requested.
- Demonstrates the ability to process and interface appropriate information between the Radiologist, healthcare team, the patient, family, and/or significant other to ensure patient outcomes.
- Trains staff on clerical workflows, scripts, orders, and expected outcomes
- Develops and maintains monthly schedules, including coverage for vacations and callouts
- Manages time-off requests and ensures appropriate staffing levels
- Provides after-hours availability for departmental or operational issues
- Ensures all patient paperwork and documentation are accurate and up to date
- Delegates clerical tasks appropriately to staff and monitors workflow efficiency
- Orders and maintains department supplies
- Completes annual staff assessments and establishes performance goals
- Manages Sleep Lab documentation and submits for billing; performs monthly reviews
- Scans ISCV and related documentation into patient charts
- Processes legal record requests, invoices, and payments
- Monitors missing accounts and follows up on charge or documentation issues
- Performs other clerical and receptionist duties as assigned
QUALIFICATIONS/REQUIREMENTS
EXPERIENCE
- 3 years of experience in the medical field required. Radiology experience, preferred.
EDUCATION
- High School or equivalent.
- Post High School Vocational/Specialized training, preferred.
LICENSES/CERTIFICATIONS
- N/A
OTHER
- Answers telephones, maintains logs accurately, maintains patient charts.
- Operates: Fax machine, computer, photocopier.
