About the Role
We’re looking for a Project Coordinator who will own a portfolio of standardized, templated client engagements and keep them moving with speed, consistency, and predictable outcomes. This includes short, clearly scoped onboarding engagements delivered through standard playbooks, as well as ongoing support engagements (e.g., HubMasters, Essential/Premium support agreements) where you’ll manage intake, triage, and follow-through to closure. You’ll coordinate the handoff from Sales to Delivery, run streamlined kickoffs, and maintain an asynchronous-first cadence across many concurrent engagements — tracking progress, managing dependencies, and ensuring every engagement has clear next actions, owners, and due dates.
This role will report directly to the Head of Delivery Management.
What You'll BringYou bring strong operational discipline: you plan, prioritize, and track action items with precision, and you communicate clearly and consistently in writing. You’re comfortable driving momentum and accountability primarily through asynchronous communication. You work confidently in delivery tooling and standardized templates, and you have a knack for spotting risk early — whether that’s scope drift, a responsiveness gap, or a client satisfaction signal — and escalating it appropriately to drive resolution through cross-functional coordination. You understand how scope changes affect effort, timelines, and cost, and you’re comfortable surfacing expansion opportunities and retention risks along the way.
Ideally, you bring:
- Experience in onboarding, customer success operations, engagement coordination, or support roles in services or SaaS environments.
- Experience operating support models (retainers, support tiers, consulting hours, SLA-based support) with clear intake/triage and queue visibility.
- Exposure to HubSpot or similar platforms.
- Interest in growing into broader delivery management and more complex engagement ownership over time.
Standardized Onboarding Engagements
- Own a portfolio of short, clearly scoped onboarding engagements delivered through standard templates and playbooks, ensuring speed, consistency, and predictable outcomes.
- Coordinate sales-to-delivery handoff: confirm scope, timeline, responsibilities, success criteria, and engagement boundaries; ensure clean, standardized setup in delivery systems and documentation.
- Run streamlined kickoffs that align stakeholders and establish an asynchronous-first cadence (status updates as the default; synchronous touchpoints only by exception).
- Maintain delivery control across many engagements: track progress, manage dependencies, and ensure clear next actions, owners, and due dates.
- Monitor effort/budget where applicable; detect scope drift early, document changes, and coordinate commercial follow-up with Sales when required.
- Drive engagement closure: confirm completion, secure formal sign-off, and ensure delivery artifacts are current, complete, and accessible.
Support Engagements
- Own client experience and operational performance for assigned support engagements (e.g., HubMasters, Essential/Premium support agreements).
- Establish and maintain standardized structures for intake, triage, prioritization, execution tracking, and visibility across support work.
- Receive and triage incoming requests; route to appropriate internal teams based on scope and urgency; maintain clear prioritization and a transparent queue.
- Monitor responsiveness and service performance, including SLA compliance where applicable, and drive follow-through to closure.
- Maintain proactive communication: regular asynchronous updates, expectation setting, and escalation when risks to responsiveness or outcomes emerge.
Standardization and Continuous Improvement
- Maintain strong operational hygiene across all engagements: clean setup, accurate status visibility, disciplined follow-through, and consistent closure practices.
- Identify recurring patterns and improvement opportunities; recommend and implement updates to templates, playbooks, and internal processes to increase throughput and quality.
- Contribute to evolving the delivery operating model as volume and support capacity scale (e.g., routing rules, service boundaries, standard cadences, escalation paths).
- High volume of templated engagements delivered to completion with controlled scope and formal sign-off.
- Predictable delivery cycles with low administrative overhead and minimal rework.
- Clear, reliable status visibility across all engagements, with timely escalation of issues and risks.
- Healthy client satisfaction signals, with early issue detection and rapid resolution.
- Support agreements meet responsiveness expectations and applicable SLAs, with consistent follow-through to closure.
- Templates and playbooks improve over time, demonstrably increasing speed, consistency, and throughput.
- Experience coordinating multiple concurrent client engagements in SaaS implementation, RevOps, CRM, consulting, or support environments.
- Strong operational discipline: planning, prioritization, action tracking, and clear written communication.
- Ability to drive momentum and accountability primarily through asynchronous communication, using synchronous time selectively and effectively.
- Comfort working in delivery tooling and standardized templates (e.g., Jira/Confluence or comparable).
- Ability to identify risk early, escalate appropriately, and drive resolution through cross-functional coordination (not individual technical execution).
- Commercial awareness: understands how scope changes affect effort, timelines, and cost; able to surface expansion opportunities and retention risks.
- The base salary for this role is USD $55,000 to $65,000. With bonus opportunities, total target compensation is $59,500–$71,000, commensurate with experience. Outstanding candidates may be considered for higher ranges.
- Note: For roles filled via an Employer of Record (EOR), final compensation is subject to review prior to offer, based on local market rates and statutory costs.
