Job Description

The Administrative and Merchandising Coordinator provides administrative assistance to the President and CEO and the Chief Financial and Operating Officer while managing purchase-order processing for the merchandising function.

The position requires accuracy, discretion, accountability, and the ability to complete work independently. Responsibilities will shift based on executive priorities, buying cycles, events, and business needs.

Primary Responsibilities
- Assist executives with calendars, travel, meetings, correspondence, expenses, documents, records, and follow-through.
- Prepare and edit presentations, spreadsheets, agendas, communications, notes, and trackers.
- Maintain organized files and protect confidential executive, personnel, Board, financial, vendor, and company information.
- Enter authorized purchase orders into NetSuite accurately and promptly.
- Review purchase-order information for completeness and resolve missing or inconsistent details with the responsible merchant.
- Process approved purchase-order changes and maintain accurate supporting records.
- Track vendor acknowledgments, delivery information, open issues, and purchase-order backlogs; raise discrepancies promptly.
- Work with Merchandising, Finance, Operations, Receiving, store leadership, and vendors to exchange information and resolve issues.
- Assist with leadership meetings, company events, and peak business periods as needed.

Qualifications
- Two or more years of relevant administrative, purchasing, merchandising, or retail operations experience.
- Experience entering and maintaining purchase orders in an ERP or inventory system; NetSuite experience is preferred.
- Proficiency with Microsoft 365, including Excel, Word, PowerPoint, and Outlook.
- Strong written communication, organization, and attention to detail.
- Demonstrated discretion, sound judgment, initiative, and consistent follow-through.
- Ability to manage changing priorities and complete work accurately without repeated direction.
- Bachelor’s degree or an equivalent combination of education and relevant experience.
